Highlights:

Article: From the desk of HR

Why Policy changes are required? HR business Partnership is enablers within business on people initiatives. HR strategy provides analytics and insight into people

matters and help in people planning translating commercial challenges to people initiatives. Especially a mid-sized organization

might fall under the challenge of survival if they can’t have continuous effort on saving and 30% of that saving originates from HR,

which directly contrived through HR process assessment, re-engineering, process roll out, automation and continuous improvement

considering the compliance.

Change in Policy on Employee Welfare – Lets gauge Mediclaim premium scale up to

more than few Crores due to high claim ratio, organization bound to rethink instead

opting for Mediclaim policy from insurance company, isn’t viable to have in-house

kitty of average claim amount of last 3 years, which would be definitely approx 5

times cheaper than premium paying to insurance companies. HR has to amend

employee welfare policies redesign and restructure without impacting organization

objective and welfare initiatives.

Change in Employee separation policy – Project profits are reducing day by day

specially in telecom sector, so organization has to think innovative way of reduction in

costing for delivery of any project. Consequently, HR policies should focus

amendments around how existing manpower can be multi-skilled efficiently. HR has

to initiate productive conversation with the leaders to operate with the existing teams

as per optimum utilization. Instead hiring new employees existing employee to be

upgraded wherein high cost employees can justify their payout, otherwise before red

bell alarm dynamic HR has to create a policy of separation of high cost employees.

Change in Hiring Policy – Govt. does understand unless we reduce the number

of labor laws, much of the FDIs would go to other countries. New laws have

already been transformed however; same changes have not been reflected in

organization HR Policies. There is lack of awareness even in some old laws like

Apprentice Act makes it mandatory to hire 10% of employees under this act.

Unlike on roll employees they don’t emanate under labor laws. So approx. direct

saving of 30% cost of compliance on CTC and also be able to get refund from

Govt. on the % of salary has been paid to apprentice. Similarly under NEEM

Society/Trust/Company registered in Section 25 of Companies Act can hire

trainees without any cost of compliance. Contrastingly, taking advantage of

recent amendment finance minister introduced Section 80JJAA to the IT Act

wherein deduction of 30% is proposed to be given on additional wages paid to

the additional workers employed. HR has to make new framework, new policies

to translate the benefit under all these new Acts.

Changes culture of millennium – HR has to address immediately aspiration and

interest of new generation; they are connected with the world and adapt

motivation and lifestyle accordingly. In India we are still struggling to cope up

with mobile personal communication, late coming and absenteeism at duty

etc. This is high time we should create a policy with true concept of fun at

work, meeting target with least supervision. Employee centric organization HR

has become instrumental to reach to employees at least annually to take

feedback on improvement and employee pain areas which give valuable input

for change requirement of any policy.

Since beginning HR is dominated by Hard copies of documents only and soft copies were not encouraged. Online ERP system has

forced HR to rewrite the way we operate in organization considering easy accessibility and saving, apply approvals along with

hyperlink policies on click of a button. Four distinct phases of policy development that is Identify, develop, legally vet from an

attorney and Implement. Amendments might require as per the organization changed vision and target positioning as well and

most importantly should be updated to employees and all stakeholders.

HR Initiative on Cultural Change (Performance & Behaviour)

HR is in the process of employee competency development. In this direction we have identified 9 training modules as attached

for the current Financial Year. Few training sessions were already completed in Q1 and Q2. Following sessions were held in Q3

and Q4 in HO & Factory both.

Mediclaim, ESIC & Fire Training in Factory:

In order to maximize the ESIC usage by the employees, HR has conducted ESIC awareness sessions in Factory for guiding the

employees about the steps to utilize the ESIC multiple benefits. Mediclaim procedure was also communicated in the same session.

Casual/Contractual and on roll employees were available in the training session.

Fire Drill in HO- Comprehensive training on Fire, Electrical emergency was conducted in HO as an awareness campaign.

HR Savings Initiative

1. Joining documents have been transformed from Personal hard copy files to soft copy sheets. Below

objectives have been achieved:

1) Digital Movement has been supported

2) Man days have been saved which were previously being used in filling up the hard copies of

the documents and joining kit

3) Stationary cost has been saved. Folders cost per file is Rs. 88.78, considering the average of

joining; per month saving is Rs. 1.32 lacs per year.

4) Soft copies are easily accessible and navigation is extremely quick

2. We have successfully registered TNS under Apprenticeship Act, registered the employees under the same

and became eligible for refund for following its guidelines.

3. Along with contribution savings, we have registered the refund claim of 24 lakhs for 3 quarters against

Apprenticeship Act registration.

4. Notice Period Deduction duration has been revised from 7 days for the employees who are in probation

period to 30 days for all the employees. This initiative helped HR to arrest Separation along with the

Company Asset. This has direct financial positive impact on our organization.

5. In order to extend the Medical/Accidental benefits to off role staff, we have covered all Casual staff for GPA (Accidental Policy) as well as for Mediclaim Policy, whereas Contractual staff is covered for GPA (Accidental Policy).Therefore, all the contractual staff is covered under General Personal Accidental Policy.

6. We have successfully started our in-house Employee Medical Benefit Policy for all employees not covered

under ESIC.

Employee Engagement-

Birthday Celebration in HO & Factory- By making employees feel special for the day and demonstrating that you care, you can boast

employee morale and motivation while increasing productivity. This can be a great way to show employees that you care about

them as people and have some fun together as a team. HR team ensure that birthday of the employees are celebrated.

Marriage Anniversary-

During the years a long-serving employee spends with an employer, they are likely to pass through a series of significant life events.

Anniversaries are special and important events in a person’s life. We celebrate employee’s anniversary. This is a way of telling them

they’re important.

Diwali Celebration at HO & Factory

Diwali is the time of grand celebration as it is the biggest festival that we celebrated with great excitement along with TNS members & with their families. We organize different activities i.e. Tambola, one minute game etc and had fun together.

Rewards & Recogniiton:

Rewards and recognition are considered powerful tools, which are used to motivate employees. TNS believes in recognizing the employee’s efforts

and rewarding them for their performance. Traditionally we are practicing getting Nominations for R&R certificates for various achievements,

while this year while we have taken the appreciation approach to the newer heights wherein we have started motivating Project Managers/

Coordinators & Supervisors to appreciate their team mates through SMS, verbal, letter, patting or e-mail as well.

Year 2017 we also celebrated Long Service Awards for TNS history wherein together we have celebrated for Long Service Award for completion

of 10 years of continuous services with TNS.

Sports Day- Heads held high, hands and legs stretched out, and hearts filled with enthusiasm’, we proudly stood by the honor and glory of our Organization. Every year TNS celebrate Sports Day with full enthusiasm & energy. Our aim is to get involve all TNS members & their families in the event. Various sporting events and activities were organized. Opening was done by Mr. I R Pant; he slashed the ribbon, addressed the audience, and released the balloons. We organized this event at the Mayoor School, Noida. CSR (Corporate Social Responsibility)

Under CSR initiative, Mr. Shubhankar Malakar (Head HR) visited several colleges (Asia Pacific College of Management, Jaipur Higher

Education, Delhi College of Engineering & Jaipuria College) gave motivational speech as a Speaker, did campus hiring and promoted

company's brand so that TNS has more visibility in the market. Also, invited in Penal discussion on ‘The challenges & Opportunity for

leveraging the Demographic Dividends in India’ along with CHROs of leading Corporate of India.

HR has also received the “HR Excellence Award 2017” from Rajasthan government.
