Job Description & Person Specification Post: Reception & Admin Assistant Responsible to: Service & Operations Co-ordinator Salary: £17,584 (actual £10,518 per annum) Hours per week: 22.5 (Wednesday to Friday) FUNCTION OF THE POST: To provide administrative support that will contribute to the effective running of Newcastle Carers. The post holder will ensure the highest standards of service delivery in accordance with the policies, ensuring that the service is appropriate, sensitive and accessible. KEY RESPONSIBILITIES AND DUTIES: The following list is typical of the level of duties which the post-holder will be expected to perform. It is not necessarily exhaustive and other duties of a similar type may be required from time to time. 1. Responsible for providing a reception service i.e. first point of contact for carers and professionals accessing the Centre, e.g. initial enquiries, signposting, and meeting and greeting visitors etc. 2. Producing letters, recording client information and data-entry, scanning and photocopying as required. 3. Providing administrative support as necessary e.g. arranging venues, keeping attendance lists, organising mail outs, data gathering and processing etc. 4. 5. Supporting and supervising volunteers as required.

6. Keeping office diaries, room bookings, organising catering, transport etc.

7. Supporting the Service & Operations Coordinator in purchasing equipment, stationery, consumables, building maintenance etc.

8. Responsible for dealing with incoming and outgoing post.

9. Responsible for handling cash, taking payments and donations.

10. To undertake any other such duties as may be determined by the manager from time to time commensurate with the service and in line with any developments or changes in the role of the service.

Other duties:

a To attend meetings, local panels, forums and events relevant to the post as agreed.

b To maintain appropriate knowledge and have a strong commitment to equality and diversity.

c To undertake any related administrative duties.d To work within the practice and policies of Newcastle Carers.e To participate in approved training events to enhance the work of the

postholder or Newcastle Carers.f Such other duties as directed where appropriate to the post.

1 Experience of reception working in an open access, public setting.

2 Experience of a wide range of admin work in an office environment.

3Experience of communicating and liaising with members of the public and professionals.

4 Experience of handling cash.

5 Able to multi-task and work to deadlines.

6Experience of using Charitylog or similar Customer Relationship Management (CRM) system(s).

7Strong organisation and numeracy skills including the ability to keep accurate records.
