Create a Google account

Open Google Chrome. Go to Google.com. in the upper right corner, click the option to “sign in”. Now you will see an option to “Sign Up” in the same corner.

You do not need a gmail.com account, you can use your UCS email by choosing the “I prefer to use my current email address” option. Fill in all other fields properly including the “agree to terms and policy” for Google.

An email will be sent to your UCS address to confirm your identity and validate a Google Docs account.

You can edit information about yourself if you choose, but we will skip the personalization of your account for now.

Google will allow you to have 15GB of storage for free. Monthly fees apply if you exceed this amount.

Google Drive

After you login into your new account, you will see some options in the upper right corner of the web page. Click on the 3x3 array (this is the “apps” icon) and will see a menu of options. We will go into the “Drive” option.

Your web page may have the apps options at the top of the page in which case you will select the word Drive instead.

Create a Folder

We will begin by creating a folder to keep files organized.

On the side of your screen, you see a “create”. When you click this, you will see items that you can create for your Drive account. (shown below).

There is a shortcut to adding a folder by just clicking the icon above “Meet your Drive” and below the Google search bar.

Name your folder “UCS November 5th PD” and hit “create”.

You can delete this folder later.

The “My Drive” menu under the “Create” icon works just like the menu for files on your PC. You can drag and drop items into folders to keep the drive organized.

Click your new folder “UCS November 5th PD” on the left side and you will see no files are in the folder (yet).

Upload a file

We will now upload a file into your Drive. Next to the “Create” option is a icon. This is used to upload files. When you click this you can upload a single file or an entire folder from your machine. Note: you will need to use Google Chrome to upload a folder. We upload a single file.

Click the and choose files. Find any file or picture from your computer. You will see the upload process in the lower right corner and when complete your document is now accessible when in your Drive.

I uploaded a Word document as shown above. Close the “upload complete” by hitting the “X”.

Viewing your files.

When you click on your document or picture, you will notice that it displays the file in Google Drive Viewer and does not open the file in Word. To open in Word, you will need to download it to your computer and follow the directions.

Create a file

You can create spreadsheets and documents from Drive with many of the same options you would find in Microsoft Word/Excel. Click on “Create” and choose “Document”.

Choose Spreadsheets. Same edit changes as a document. Ready to go.

Note: while working with files created in drive, there is not an option to “save” your work because it is done automatically.

Create a Form

Creating a form is used to make a survey or anytime you want to elicit responses from others. I use a form when making a homework quiz to make sure my students are making corrections to homework assignments.

Click “Create” and select “Form”. Choose a name and theme to personalize your survey. Use “Test Form” as your title. I will use the default theme and click ”OK”.

While creating your form, you will not see your theme background. When others view your survey, then the theme is displayed.

As you work, your survey will be automatically saved. The first “Question Title” I use is “Name” because I need to know who the survey is from. I also edit the “Question Type” to be “Text” to have the user fill this in.

You can hit done the collapse this item or click “Add Item” and it will condense automatically. Not all questions have to be required. A red asterisks will be next to all required questions.

Add two options on your own or use the ones you see below. Make one Multiple Choice and one a Text response. Make them required.

We can also add an image and then ask a question. Click the drop down arrow next the Add Item menu and select Image under layout. Click to load an image from your computer in the center and it will be inserted into your Form. Give a title and then you can add a follow up item.

I will use an equation I snipped from the web. Click done.

The follow up question could multiple choice or text. I will choose multiple choice and make it required.

When creating questions, if you have any repetitive type questions, you have the option of copying a question (near the trash can) so you do not have to start from scratch.

When your students have completed your survey, they will have to hit the “submit” button at the bottom. They will be directed to a confirmation page and see the

message “Your response has been recorded” unless you change this. I have created my own response below and click the boxes if you want students to modify answers or show all responses. I do not check these last two options.

To view what your form will look like to your students click the at the top of your form and make any corrections you need.

When your students take the survey, you will need a place to retrieve the responses. This is done by clicking the “Choose Response Destination” at the top of the form.

By default, Drive will take the name of the Form and put “Responses” in parentheses

You have the option to make a new sheet with responses (default) or connect responses to an existing spreadsheet. We will choose the default option by clicking “Create”.

You now have the option to view the responses, but no one has submitted a response yet.

We are now ready to send our form. There are two ways to do this. Option 1 is to email it out and a link will be embedded in the email. Option 2 is to copy and paste the link in the “send form option” and paste the link in a website.

You will need to take your survey at least twice in order see how to grade the

survey. You can do this by clicking the at the top and filling in the required field. You should put in a valid email address for the second response.

The first response will always be done by you, and this is what the grading program will use as the key.

Flubaroo is a grading tool developed by teacher to save time. It is not a common application so there are a few steps in order to access its capabilities. You will have to do this every time you put a survey online for your kids.

1. Go into Test Form (Responses)2. Click Insert3. Select Script 4. Type “Flubaroo” in the Script search box5. Click Install in the second box called Flubaroo.6. Click Continue for “Authorization required”7. Click Accept8. After “Installed” appears in the Flubaroo box, click close

Flubaroo is now a tool available in the responses sheet.

When you click the “View Grades” button, you will see all of the responses submitted thus far. More students can submit answers after this point, but they will not be automatically scored, you will need to go in and rescore the Form.

The responses tab is on the left and the grades tab is to the right. A Timestamp is marked when a response is submitted.

If a student submits responses after you have graded the assignment, they will not appear in the grades tab, but will be in the “Student Submissions” tab.

Responses need to match exactly to the key in order for them to be scored correctly. Spelling issues, use of units or commas, or even an extra space in the “text” response will return a wrong response. At this time, the only method I am aware of to avoid this issue to is have multiple choice answers or hand score the text responses.

Email Grades

After all submissions have been received, you can now let the students know how they did. Click on Flubaroo, and choose Email Grades. You have the option of including a key and giving your students a message.

If you should need to re-grade the assignment, it is an option in Flubaroo. You can also view how your students performed with the “View Report” option. (Shown Below)
