Rick Hopkins MUST have your roster sent to him electronically by February 13 (hard copies to follow). Coaches will need to secure a computer lab for their exclusive use on February 20, 2019, between 10 a.m. and 3 p.m. CST for practice AND February 21, 2019, between 11 a.m. and 2 p.m. for the actual writing of the essays. CONTEST VENUESThe Preston Ridge Campus of Collin College in Frisco is host to the 2019 Texas Academic Decathlon. All testing will take place at the Frisco Campus of Collin College: 9700 Wade Blvd. Frisco, TX 75035. The Super Quiz will take place in the main gym of Lebanon Trail High School: 5151 Ohio Dr. Frisco TX 75035. The Awards Banquet on Sunday morning will take place at the host hotel; the Embassy Suites Frisco in the Frisco Conference Center.

HOTELS – ALL TEAMSThe host hotel is the Embassy Suites Frisco: 7600 John Q Hammons Dr. Frisco, TX 75034. The Embassy Suites will host the banquet on Sunday morning. The overflow hotel is the Drury Inn and Suites which is a moderate walk “across the parking lot” from the Embassy Suites. This year, the vast majority of rooms available for us will be at the Drury. That will change next year, but for this year the Drury makes up most of our room block. Frisco is about a 25-minute drive from either the Dallas-Ft. Worth International Airport or Dallas Love Field. The hotels are about 4 miles from the Frisco Campus of Collin College. You can book your rooms in either hotel over the


phone or on-line. Families, administrators, teachers, and other guests are offered the same rates; however, all room reservations will need to be made directly with the hotel by February 18, 2019.

REGISTRATIONPlease note that all credentials and team lists must be sent to our registration office by Friday, February 15, 2019. We recommend that an overnight express mail service be utilized to ensure that your documents arrive by the due date.

All coaches should plan to arrive at the hotel Thursday evening or Friday morning for registration. Registration will be open from 6:00 to 8:00 Thursday evening, and then from 9:00 to 10:30 am on Friday. The registration table will be in the hallway between the Embassy Suites hotel and the attached Conference Center. Teams should plan to arrive at Collin College by 12:45 p.m., Friday. The first event of the Decathlon, the Mathematics test, will begin at 1:00 pm in the Conference Center. The first Coach’s Meeting will be Friday, March 8th at 1:20pm in room F 249 on campus.

TRANSPORTATIONWe will NOT provide transportation for TEAMs to any venues.

TEAM MEALSNo meals will be provided this year on Friday or Saturday. We are working with Visit Frisco to secure discounts at neighborhood restaurants. Details will be provided upon arrival. There are no dining options on Collin College Frisco campus during the times we will be there. Water and snacks will be available during the competition.

AWARDS BANQUETThe Awards Banquet will be held on Sunday, March 10, 2019, at 8:45 a.m. at the Embassy Suites hotel. Because the Embassy Suites and the Drury offer a free breakfast, a banquet ticket will buy pastries and some drinks to be provided during the event and a great to-go lunch as everyone leaves. Team (nine students/two coaches) tickets will cost $25 each. Guest tickets for the Awards Banquet will cost $30 per person. NEW FOR 2019 – Guests who would prefer audience-style seating will be charged $10 for non-table open seating (no food). Nobody will be let in to the banquet venue without a ticket of some kind. ALL guest tickets MUST be ordered through the school. Indicate the number of banquet tickets that your team will require (including all guests) on the enclosed Awards Banquet Reservation Form. Return this form, along with your payment, by February 22, 2019. No Purchase Orders will be accepted. Tickets for the Awards Banquet are on a first come-first served basis. There will be NO refunds after March 1, 2019. Banquet tickets will be numbered for seating at specific tables. We will do our best to assure that guests are seated as close as possible to their teams.

Appropriate attire for this event would be the same as your students wore for the interview/speech events. Please remember there are school administrators, Texas and USAD board members, and parents present.


PAYMENTSThis year, we will be accepting checks and credit cards for payment. As you will be dealing with the hotel and the photographer directly, the only things you will pay the coordinator for are banquet tickets and t-shirts. You are welcome to send a check in with your forms. The checks, which can be from the schools, the district or a coach ONLY, will be made out to Collin College and they need to be received by February 22nd. If you choose to pay by credit/debit card, the payment can be processed through a Collin College On-line Storefront. The payment needs to be processed on or before February 22nd. TEAM ROOMSUnfortunately, Collin College does not have facilities to equitably distribute team rooms for all teams. Unused classrooms surrounding our event will be locked and all teams will be asked to find a spot in the hallways of the Conference Center or the J Building to set up camp. Campus Facilitators will be around to help locate necessary seating.COACHES MEETINGSAll coaches’ meetings, whether at Collin College or at the Embassy Suites Hotel, are currently being scheduled for rooms that have a capacity of close to 90 people. We therefore require that a maximum of 2 coaches or representatives of each team attend the various coaches’ meetings. We apologize for any inconvenience.

Student Dress Code

The following student dress code will apply to all Texas Academic Decathlon contests. Team uniforms for both boys and girls are optional.

Boys: Shirt and slacks; preferably a suit.Girls: Dress, suit, skirt/slacks and blouse.

Distracting apparel, including hats or any kind (except those worn for religious reasons), excessively baggy, torn or ragged denim and/or jeans, shall be considered inappropriate. If a test proctor, meet official, or coach observes violations of the dress code, the student should be given the opportunity to comply with the dress code prior to competition in an event. Once a student has been allowed to compete in an event, he or she may NOT be disqualified because of dress code violations.

Failure to comply with dress standards may result in disqualification from the event, the entire competition, and/or the awards’ ceremony. The decision of the competition coordinator is final.

Code of Student Conduct

The Texas Academic Decathlon competition expects all team members to conduct themselves in a proper manner while attending the Texas Academic Decathlon event. This includes all of the travel, hotel, and sightseeing associated with their participation in the event.

Appropriate conduct of team members is the sole responsibility of the team coach/school administrator who has the legal responsibility of chaperone for his/her team members at all times. Students should be under the supervision of the coach/school administrator during all activities.

Inappropriate conduct includes but is not limited to:1. Being in possession of any weapon2. Damage to or vandalism of any property3. Appropriation of memorabilia from the competition site premises4. Use of alcohol or illegal drugs by students regardless of age5. Use of water pistols, water balloons or other creative missiles at the competition site6. Fighting, loud noise, or any other behavior which is disruptive to others at the

competition site

Financial liability for all damage incurred by actions of a team member shall be the sole responsibility of that team member and his/her parents. Failure to comply with the Code of Student Conduct may result in disqualification from the event, the entire competition, and the awards ceremony.


In case of any incident, the Executive Director of the Texas Academic Decathlon shall convene a panel of three board members to discuss the matter and determine the appropriate action. Appropriate action may include individual and/or team disqualification.

SMALL AND MEDIUM SCHOOLSPHOTOGRAPHY INFORMATION

Congratulations on making the State Finals! Team Photos will once again be offered by Kelling Photography. The photos will be taken on Friday during the Speech and Interview times. You will be scheduled so that the photo times will not interfere with your competition times. IF the time that you are assigned does not work for you, please stop by the photo area and we will be glad to find a time slot that is convenient.

You and your students may place their orders prior to the state meet by mail, during your photo time on Friday, or Sunday morning at the awards ceremony. The photos will be on display for students and parents to see prior to and after the awards ceremony.

An order form is included in this packet. Please print and distribute it to your students so that they and their parents can have the opportunity to order if they wish.

DIFFERENT THAN LAST YEAR, all photo orders will be sent directly to Kelling Photography in 2019. The address is below. You can send the orders in prior to the meet or the orders can be placed on Friday as we take the team photos as well as at the awards banquet on Sunday morning.

Texas State Finals Competition All teams participating in the Academic

Decathlon meet will have a picture made of their team with coaches. These pictures will be used for publicity purposes and also as a memento to participants.

Plaques and photos may be purchased by the school or by individuals. The Small Plaques are 8 X 10 in size and will have a 5 X 7 photo mounted under acrylic. At the bottom is a plate stating team and members’ names as well as the Decathlon logo. The cost of the Small Plaque is $35.00. The Large Plaque is an 11 X 17 Plaque with an 8 X 10 photo and is $55.00.

Un-mounted Photos will be 5 X 7 in size and will be enclosed in a protective folder that will also serve as a frame and stand for the photo. The cost of the photo and folder is $20.00.

Orders placed after the meet will be $30 for the un-mounted photo and $50 for the Small Plaque.

You may purchase a “Plaque Team Pack” for $375.00. This includes 12 Small Plaques: one for each

team member, one for each of two coaches, and one for the school. Or you may purchase a “Photo Team Pack” for $225.00. This includes 11 Photos and one Small Plaque: one photo for each team member, one photo for each of two coaches, and one Small Plaque for the school. A school check is required for these options.

Orders may be mailed prior to the meet and will also be accepted at the meet. Photos and plaques will be mailed to the schools within eight weeks.
