Study Abroad: Observe the World as You Earn Your Degree

The rapid trend toward globalization poses new challenges while offering exceptional

opportunities. In a world of greater economic integration and political and social

interdependence, study abroad expands the walls of the institution and offers an opportunity to

gain first-hand experience of the larger global community. The American University in Cairo

(AUC) is proud to take part of a longstanding and deep commitment to international education to

help students become active leaders and conscientious members of an increasingly global

society.

Students engaged in international study discover insights into other cultures, develop new

perspectives, and learn to reflect on how their own culture has shaped their understanding of the

world. Immersion in a foreign culture is only one of many educational benefits of the study-

abroad experience. Other students may take it as an opportunity to sharpen their foreign language

skills, network and build friendships around the world, and discover new passions.

Students should use the world as their classroom and grab the opportunity to take part in a wide

range of activities abroad, from pre-professional internships to humanitarian relief efforts.

Therefore, AUC considers it a responsibility to extend this incredibly rewarding experience —

academically, personally and culturally — to the largest number of students possible, rather than

limiting it to a small number.

Introduction

Goals and Program Definitions: The American University in Cairo (AUC) provides its students with a unique opportunity to

study in a foreign country for academic credit. The goal is to provide students with an

international educational experience valuable for both personal growth and career prospects. It

also allows students to better shape their academic careers and to differentiate their

qualifications. Other reasons to study abroad include: new skills, enrichment, intercultural

communication, complimentarily to current program of study, language learning and global

knowledge and awareness.

AUC offers students a wide variety of study-abroad opportunities for a summer, a fall or spring

semester, or an academic year. This handbook is a complete guide for AUC students who would

like to study abroad during their time at AUC.

Study Abroad Categories

There are several forms and durations available for AUC students to study abroad. The main

forms available include:

a. Exchange Program: An AUC student can choose a specific university from the list of

AUC exchange universities to spend the duration of a semester or a year, under the terms

and conditions of each exchange partner university. Under the exchange program

category, AUC students pay AUC tuition in return for students at the partner universities

paying their tuition and coming to AUC. Office of International Students and Study

Abroad (ISSA) will not support any applications to non- affiliate universities.

Furthermore, ISSA will not support applications to affiliate universities that do not go

through ISSA selection process.

b. Study Abroad (direct enrollment): An AUC student can spend the duration of a

semester, summer or a year studying at another university. Students can choose a

university from the list of partner schools.

General Duration for an Exchange/Study Abroad option: Students at AUC can choose the length of time they wish to study abroad from the list of

durations below. The durations available for study abroad and/or exchange include:

● Fall semester

● Spring semester

● Fall and spring semesters (also known as academic year)

● Summer session (study abroad only)

The selection of how long a student chooses to stay abroad depends on many factors. AUC

students are advised to start researching their study-abroad options as soon as they complete their

freshman year and declare a major.

Application Procedures, Requirements and Timeline

Exchange/Study Abroad Program for fall and spring Semester

ISSA offers a minimum of four information sessions to all AUC students at the beginning of

each semester. Interested students are encouraged to attend these sessions to gain knowledge

about the program

The process to apply for the Exchange/Study Abroad Program is a simple set of tasks. Before

laying out these tasks and requirements, students need to prepare themselves for this process and

the purpose of such requirements. The preparation for this process starts at the beginning of each

semester.

Eligibility Criteria:

1) The student must be in a good academic standing. Students placed on probation of any

form will not be eligible. Good academic standing is identified as follow:

● Exchange: A minimum of a 3.2 grade point average (GPA)

● Study Abroad: Minimum GPA as requested by the host school

2) The student must have completed her/his first year at AUC and preferably apply while

in the sophomore year.

3) Major must be declared.

4) All students must complete the following freshmen-level Core Curriculum

requirements:

accept/reject the nominated student according to further criteria that will match their

own rules and regulations

AUC Online Application:

Complete AUC’s internal online application for exchange/study abroad. A complete application

must include a variety of documents, which can be submitted separately to the ISSA. Once the

application file is complete, the review committee, will screen applications and the selection

panel will interview nominees.

Applications go through the following screening stages:

1) Eligibility screening for GPA and a complete application

2) General evaluation of student resume and personal statement

Students who pass the above two stages will sit for a personal interview by a specialized panel.

The panel will evaluate the following:

● Academic performance

● Statement of Purpose

● Extracurricular activities

● Resume

● Work experience/internships

In addition to the minimum criteria listed above, students are subject to the specific admission

criteria of each host university. Additionally, for the purpose of exchange, considering slots are

usually limited, the review committee will make final decisions on the following rated criteria:

● Relevancy to academic goals as demonstrated through the personal statement

● Demonstrated maturity and ability to handle independent international travel and

experience

● Diversity of academic and extracurricular activities pursued, as demonstrated in the CV

or resume

Post-Nomination Orientation (PNO):

ISSA holds an orientation session after applicants receive their placements at host universities.

This session is mandatory. Failure to attend the PNO results in reviewing the nomination. The

PNO includes the following activities:

1. Brief presentation of the next steps by ISSA staff members

2. Submitting the signed Exchange/Study Abroad Contract and Parent Release Form

3. Presentation by the Registrar Transfer Unit, outlining the steps required for the transfer of credits

and course equivalency

Host University Application: Selected students must fill out the host university’s application, either online or in hard copy, as

requested by the host university

Applying for exchange/ study abroad usually needs a lot of time and preparation. Students

planning to go abroad during the fall and spring semesters should watch the following

timeline:

Summer Study Abroad Program:

AUC has 11 agreements with US and European universities that offer study abroad opportunities

for AUC students on different time periods during the summer session.

Application Procedures, Requirements and Timeline:

The process to apply for the Summer Study Abroad Program is a simple set of tasks. Before

laying out these tasks and requirements, students need to prepare themselves for this process and

the purpose of such requirements by the beginning of November each year.

Eligibility Criteria: The student must be in a good academic standing; students placed on probation of any form will

not be eligible.

Good academic standing is identified as follows:

A minimum of 2.75 GPA for all universities, except for Pembroke College/University of

Cambridge a minimum of 3.2 GPA is a must.

Application: AUC Online Application:

Fill out AUC internal online application for Summer Program. A complete application must

include a variety of documents, which can be submitted either in soft copy with the application

or in hard copy separately to International Students and Study Abroad Office (ISSA). Once the

application file is complete, eligible students will receive an email stating the next steps

including submitting the host university’s application, issuing the visa and getting ready to

travel.

Host University Application: Eligible students must fill out the host university’s application, either online or in hard copy, as

requested by the host university. ISSA provides assistance to this effect.

Pre-departure Orientation: All study-abroad and exchange students will attend a pre-departure orientation, offered usually at

the end of both the fall (first week of November) and the spring semesters (first week of May).

The orientation covers the following:

● Educational and cultural issues

● Budgeting and finances

● Visa requirements and passports

● Meeting with international students as well as returning students

Academic Credits – Course Advising, Evaluation and Transfer: (For Exchange/Study Abroad and Summer Study Abroad Programs)

Advising With advisers, students should conduct an audit for their degrees prior to study-abroad or

exchange programs in order to determine the best courses to take abroad. It is highly

recommended that students’ complete prerequisite courses prior to study abroad and leave a few

elective courses open in order to take courses that are complementary to AUC’s offerings. Prior

to a meeting with a faculty adviser, students should prepare a list of courses already taken and

planned for the host university. Often, advisers will request course descriptions.

Evaluation

Course Transfer Guidelines for Undergraduate AUC Students:

During a SEMESTER, undergraduate students must enroll in four to five courses per semester at

the host university.

During a SUMMER session, undergraduate students must enroll in two to three courses,

depending on the host university, per term at specific host universities for visa purposes.

Credits earned at the host university will transfer back to AUC after following the below

guidelines:

How to Get Study-Abroad or Exchange Courses Approved for Transfer to AUC:

1. Select the courses you plan to take from the host institution course offerings for the desired

semester(s)/session.

2. Use the Transfer Course Equivalency (TCE) Tool as a guide for valid pre-evaluated course

equivalency.

3. Review your selection of courses with your Academic Advisor.

4. Securing approval, from the Transfer Credit Affairs in the Registrar’s Office, is a mandatory

step before travelling to guarantee transferring the pre-approved courses back to AUC.

5. Log in to the Registrar Appointment Scheduler to sign up for an appointment with the

Transfer Credit Advisor. Exchange students must ensure that the Office of International Students

and Study Abroad (ISSA) has sent their information to the Registrar’s Office prior to signing up

for an appointment.

6. For the appointment, make sure to have a print out of the course description and class

timings/offerings for all selected courses. It has to be PRINTED DIRECTLY from the host

institution web pages.

7. During the appointment, you will fill out the ‘Transfer Credit Pre-Approval’ form with the

courses selected.

8. Your form with all supporting documents will be submitted to the appropriate academic

departments for their evaluation.

9. An email will be sent to your AUC email account once the Transfer Credit Affairs receives all

academic departments’ pre-approvals.

10. Courses/credits will be transferred only after the Transfer Credit Affairs receives your

official transcript from the host institution.

Helpful and Important Tips for Course Approvals and Transfers:

ONLY Study Abroad students for fall or spring semesters are required to submit a

Planned Educational Leave of Absence before departure, this is not required from

students on Exchange Programs.

Business Law courses are not transferable.

Science, Computer, and Engineering courses require detailed syllabi, list of laboratory

experiments and catalog description for pre-approvals. Pre-approvals are preliminary

until you provide the department with course assignments and all related materials upon

your return for final approval.

Economics courses pre-approvals are preliminary until you provide the department with

course assignments and all related materials upon your return for final approval.

Political Science courses pre-approvals for summer or winter abroad (Short Terms) are

preliminary until you provide the department with course assignments and all related

materials upon your return for final approval.

RHET, FILM, THTR and LING courses require detailed syllabi for transfer evaluation.

Foreign language courses are transferable towards General Electives and will not fulfill

any other degree requirements.

Study Abroad courses evaluated as equivalent to any 3000/4000 AUC course-level

outside your major, will fulfill the capstone requirement.

It is advisable to request more pre-approvals than you intend to take. However, try to

avoid overloading the academic departments with unnecessary pre-approval requests.

A maximum of ‘9’ credits may be transferred for courses completed through on-line

studies. You must not enroll in on-line courses during an academic semester/session in

which you are registered for courses at AUC.

More information provided about your intended coursework, will help secure

preapprovals. Be sure to obtain accurate course description and syllabus.

Transfer Credit Affairs will not transfer credits to AUC without receiving an official transcript

DIRECTLY from the host institution.

Students must make sure to fill out the “Transfer Credit Pre-Approval” form in the

Registrar’s Office-Transfer Credit Affairs, a semester prior to the planned Study

Abroad/Exchange program.

Credits If the course at the transfer institution carries more semester credits than its equivalent at AUC,

then the extra credits are to be transferred towards the general elective.

Residence Requirement Rules ● To obtain a bachelor’s degree, a student must take at least 45 credit hours of courses in

residence at AUC.

● At least 30 credits of the 45 must be in courses at the 3000-4000 levels (upper level

courses).

● No more than 15 transfer credits at 3000-4000 level courses will satisfy concentration

requirement of any program. AUC students who join a year abroad exchange program

administered by the university are exempted from this rule.

● The maximum transfer credits to be considered towards concentration requirement for

programs offered by each school is as follows:

● A maximum of 15 transfer credits at 3000-4000 level courses in programs offered by the

Business School.

● A maximum of 15 transfer credits at 3000-4000 level courses in programs offered by the

Science, Computer, & Engineering School.

● A maximum of 15 transfer credits at 3000-4000 level courses in programs offered by

Global Affairs & Public Policy School except for the Middle East Studies program; a

maximum of 12 transfer credit hours.

● A maximum of 12 transfer credits at 3000-4000 level courses in programs offered by

Humanities & Social Sciences School.

The following parameters indicate what occurs regarding transcripts and credits after the study-

abroad period:

● Only pre-approved courses completed with a minimum grade of ‘C’ or equivalent will

show on the AUC transcript.

● Courses graded C- or below will not show on the AUC transcript.

● Grade point average is not affected by the grades received during the semester or year

abroad. Credits earned at universities that are not accredited will not be transferred back

to the AUC academic record.

It is very important that upon completion of the study abroad duration, official transcripts are

sent from the host university to the following address:

Upon Return

● Notify ISSA of their return.

● Contact the Office of the Registrar about the transcript from the host university.

● As soon as your transcript is received, review your transcript from Banner Self Service

(BSS) to view your credits from the study abroad/exchange.

Financial Matters

Tuition

All students traveling on exchange must complete their full AUC tuition payments prior to their

departure to the host universities for the duration of their stay for either a semester or an

academic year

Financial Aid Only students traveling on AUC EXCHANGE PROGRAMS will continue to pay AUC tuition

fees according to their financial categories. Study-abroad programs require that students pay

tuition directly to the host university.

Financial aid does not apply to students on study-abroad programs; however, some partner

universities do offer discounted tuition to AUC students.

Exchange and study-abroad students are responsible for securing funds to cover living expenses,

Students on AUC’s financial aid and scholarship programs will still benefit from their financial

assistance while traveling on an exchange program. This will not apply to students who are

traveling for a summer session or on a study-abroad basis (paying the host university’s fees).

Students who receive financial aid from AUC will continue to receive it during the exchange

semester (except for the Mellon Fund financial aid).

Scholarships

Partial or full scholarships are available to students who are applying for some exchange

programs. These scholarships are provided by the host universities prior to the actual travel date.

The scholarships provided by AUC’s partner schools change from year to year; the ISSA office

will provide these details prior the start of each application cycle. The individual campus

scholarships might be in the form of housing, monetary allowances or tuition.

*Students on exchange will have to pay tuition fees for 15 credit hours at AUC even if

they take less than 15 credit hours at the host university

Visa Requirements and Passports

Passports

It is crucial to have a valid passport to be able to travel on any AUC exchange or study-abroad

program. Updating it early in the process is recommended. For students who already have a

passport, it is recommended to check the expiration date and ensure that there is at least a six-

month validity after the return date to AUC and Egypt.

Visas

Visa requirements are different for each country. All students traveling abroad will need to

obtain a student visa.

Students will be responsible for issuing their own visas. Students receive an acceptance letter and

visa requirement sheet from their specific universities. Most visas will share these common

requirements unless otherwise stated:

● English Recent bank statement (of the sponsor/guardian’s name) stamped

● Valid passport

● Acceptance letter from the host university and the visa support letter, i.e., J-1 or I-20

form for U.S. universities and visa support letters from non-U.S. universities.

AUC Contract for Exchange/Study Abroad students (to be signed during the PNO)

All Exchange/Study Abroad students must sign this contract as it stipulates the rules and

regulations students must abide by prior to, during and after their exchange/study abroad

experience.

Prior to Travel:

I. Students should attend at least three Pre-departure sessions and two Cultural sessions.

If a student fails to do so, AUC will review the nomination for the study-abroad or

exchange slot.

I. Evaluation of courses taken at host university and credit transfer to AUC should be

determined by the Office of the University Registrar. It is the student’s responsibility

to finalize the issue of credit transfer with AUC Registrar.

II. A student who declines the Exchange/Study Abroad opportunity after completing

the host university application cannot apply to any exchange/study abroad program

administered by ISSA during the next academic year. A student may request

exemption from this rule if s/he declined due to force majeure. While students must

provide proof of the emergency situation that hindered their travel abroad, the

decision to apply exemption from this rule is at the discretion of ISSA

Upon Arrival at Host University

I. Students must attend the orientation session held by the host university at the

beginning of the semester. 2

II. Students must participate in international events held by the host university

either by holding a presentation about AUC and Egypt, giving out souvenirs

in such events (to be provided by ISSA), or being part of the international day

(Pictures are required for participation in at least one university event).

III. During your study abroad, you are expected to abide by the laws and

Pre- Departure:

Before leaving the host university, students must:

a. Make sure to clear their online accounts of any holds.

b. Order the official transcript to be sent to ISSA.

c. Contact their international advisor at the host university, to make sure there

are no pending issues.

d. Gather all course assignments and all related materials for Science,

Computer, Engineering, Economics, and Political Science courses and submit

them to the Office of the Registrar upon return to AUC for final course

approval.

Re-Entry:

I. Students must complete the re-entry survey/ questionnaire provided by

ISSA.

II. Students must participate in ISSA events/ sessions to help the next

outgoing exchange / study abroad students in terms of providing useful

information about the host university/ country and their experience at

large.

III. Students must share their experience abroad by sending ISSA any

related pictures, videos, or blogs.

IV. Students receive the Abdallah Jum’ah study abroad scholarship must

write at least a 500 word paragraph and share pictures about their

experience in the host university and how this scholarship benefit

them. Note that this paragraph and these pictures will be shared with

the donor and will be posted on ISSA page. *

N.B:

1) If you have a conduct case, ISSA has the right to review your nomination.

2) Obtaining a visa to the host country is the responsibility of the students.

Failure to issue a visa will result in automatic cancellation of exchange/ study

GRADUATE

AUC provides exchange opportunities for study abroad at a partner university for one semester

only to its graduate students.

Exchange Program: An AUC student can choose a specific university from the list of

exchange universities to spend the duration of a semester under the terms and conditions

of each exchange partner school. Under the exchange program model, students pay AUC

tuition in return for students at the partner universities paying their home school tuition

and coming to study at AUC.

Exchange opportunity usually takes place in the third semester of a program that lasts for at least

four semesters. Not all graduate programs have exchange partners in the same discipline, so

students should consult with their graduate advisers to determine eligibility.

Requirements:

Graduate students interested in applying for the exchange semester must fulfill all the

requirements below:

● GPA of 3.2 or higher

● Complete all English courses, if applicable

● Prior to travel: Graduate students traveling on exchange basis must be enrolled in three

courses (9 credit hours), excluding thesis and capstone courses, during the semester

abroad at the host university. They have to maintain being full time students according to

AUC catalog.

● Graduate students applying to an exchange program must be on a good academic

standing, i.e. not on an academic probation, from the time they start AUC interest form

until the departure date.

Graduate students who are interested to study abroad for a semester but not on an AUC exchange

program must check the study-abroad academic credits – course advising, evaluation and transfer

requirements.

Application Procedures and Timeline:

Graduate exchange options are handled on a case-by-case basis due to the increased level of

details in graduate programs abroad. Students who wish to spend a semester abroad on exchange

during their master’s program at AUC will need to map their master’s degree completion

timeline and review their AUC degree audit.

Graduate Program Process:

1. An email to be sent to graduate advisers with available slots along with a link to AUC

interest form.

2. Students need to obtain informal approval from their advisers after examining suitable

4. ISSA shares applicants’ information with OSII, to be shared with graduate advisers.

5. Graduate advisers make selection decisions and inform OSII of nominees eligible for

exchange opportunities.

OSII shares final placements with ISSA. The host universities still have the right/reject

the nominated students according to further criteria that will match their own rules and

regulations

6. ISSA sends placements to nominated students for confirmations, and accordingly send

nominations to host universities.

7. Nominees complete host university applications and ensure that all documents are

submitted.

Pre-departure Orientation:

ISSA holds a set of pre-departure orientation sessions that all outgoing students must attend. The

pre-departure orientation usually takes place during the first week of May for students traveling

in the fall semester and during the first week of November for students traveling in the spring.

The sessions will cover the following:

● Traveling/living abroad Tips.

● Culture shock, homesickness and psychological advice

● Students will have a chance to meet and engage with other outgoing study-abroad,

international and returning students and learn more their hopes and concerns.

● Students will become better aware of the expectations of their host university regarding

personal responsibilities.

● Financial and budgeting tips for time abroad.

Academic Credits – Course Advising/Equivalency and Transfer:

Advising

Graduate students will meet with their graduate faculty advisers, and students should conduct an

audit for their degrees prior to applying to the exchange program in order to determine the best

courses to take abroad. It is recommended that graduate students complete their graduate

prerequisite courses prior to their semester abroad. Before meeting with the adviser, students

should prepare a list of courses already taken and a list of courses planned for the host university.

Often, advisers will request course descriptions.

Course Equivalency

After meeting with their advisers, graduate students should prepare a list of courses they wish to

take during their time abroad. Graduate students will fill out the ‘Transfer Credit Evaluation

Form’ available at the Office of the Registrar for course equivalency.

Transfer Credit Evaluation

Upon the recommendation of the student’s program to the school dean in consultation with the

Office of the Dean of Graduate Studies and the Office of the Registrar, a graduate student may

receive a number of transfer credits equivalent to up to one-third of the credit hours of graduate

course work required for his or her graduate degree. Transfer course work is applied as credit

(TR) toward the degree and is not included in the calculation of the grade point average.

Graduate transfer credits will not be granted for credits earned by examination or for completing

required thesis or dissertation credit hours.

A graduate degree program may establish lower limits on the number of transfer credits than

those of the university. Degree programs establishing lower limits may waive their own policy,

but within the university specified limit, by approval of the concerned school dean. Course work

credits to be transferred and taken prior to matriculation to a current AUC degree program must

have been completed within five years of admission to this degree program.

Types of credit allowed to transfer encompass graduate-level course work taken at another

institution that meet the following conditions:

It has not been previously used to earn another degree or certificate.

It is graded graduate-level course work from an accredited institution for which the

student has achieved a grade of “B” or better.

It is of relevance to the student’s program of study.

Any request for the acceptance of transfer credit towards an AUC degree shall be carefully

considered by the program concerned before submitting a recommendation to the school dean for

approval.

- Graduate students traveling on exchange will be charged tuition for three to four AUC graduate

courses. They will enroll in three to four courses (9 credit hours – 12 credit hours) depending on

the host university policy.

- Courses transferred from host school will not include thesis and capstone courses.

- Only courses graded B or above will be counted as an earned credit and will transfer back to

AUC. All the courses taken abroad will show on the AUC transcript.

- Courses graded B- or below will show on the AUC transcript but will not be transferred back to

AUC. The student’s grade point average is not affected by courses taken abroad.

Grades of "Pass/ Fail" or “Credit/No Credit" are not accepted for transfer of credits.

It is crucial to meet with the assistant registrar for graduate student records and academic affairs

at the Office of the Registrar to ensure course transferability.

Financial Matters

Tuition

All graduate students traveling on exchange must pay their AUC full tuition prior to their

departure to the host schools.

Financial Aid

Students who are studying abroad through AUC exchange program will continue to pay AUC

tuition fees according to their financial categories, and retain merit scholarships and/or financial

aid arrangements. Financial aid and scholarships do not apply to students on study-abroad

programs, i.e. non-exchange programs.

Studying abroad requires a great deal of financial planning as exchange students are responsible

for securing funds to cover living expenses, as well as other related expenses abroad either for

self or family.

● Financial aid and fellowships apply to students who travel on exchange programs.

● Students on a fellowship need to receive approval from the fellowship entity; i.e., Yousef

Jameel fellows need approval from the respective office.

● Graduate students on fellowships must check with their departments to find out if the

fellowship applies during their semester abroad.

Scholarships

Graduate students are eligible to apply for the graduate study-abroad grants offered by AUC.

Visa Requirements and Passports

Passports

It is crucial to have a valid passport to be able to travel, it is recommended to check the

expiration dates and ensure that your passport is valid for at least six months after the return date

to Egypt. Updating it early in the process is recommended.

Visas

Visa requirements will be different for each country. All students traveling abroad will need to

obtain a student visa.

Students will be responsible for issuing their own visas. Students will also receive an acceptance

letter and visa requirement sheet for their specific universities. Visas to most countries will

Requirements and Application Process:

I am interested in studying abroad. When should I begin the application process?

Students should begin the application process at least two semesters before their intended date of

travel. For example, if you want to study overseas in the fall semester or for an entire academic

year, you should start the application process at the beginning of the previous fall. In case you

plan to study abroad in the spring semester, you should start the application process during the

previous spring semester. For timeline details, please refer to page eight.

What is the difference between Exchange and Study Abroad?

ISSA offers both Exchange and Study Abroad opportunities at more than 60 partner institutions.

If you are selected for an exchange opportunity, you would pay your AUC tuition fees for the

duration of your exchange program, and your AUC financial aid & most scholarships would

apply. If you travel on a study abroad basis, you pay host university tuition fees for the duration

of your program, where your AUC financial aid & scholarships will NOT apply.

How long can I study abroad?

You can study abroad for a semester or a year based on the program type.

Can I take my last semester abroad?

No, you have to spend your last semester at AUC.

I am not declared yet, can I still apply?

No you can’t. To apply, you have to be declared by the semester you are applying in, or your

declaration result should be out before AUC online application deadline.

I am taking my last RHET course at the semester I am applying to, can I still apply?

Yes, you can apply. It will show on your unofficial transcript that you are already enrolled in the

course.

How can I apply to the program?

You have to complete AUC online application, and submit it along with the required documents

mentioned in the application to the International Students and Study Abroad office (ISSA) before

the designated deadline. Incomplete applications will not be processed.

What are the universities I can apply to?

The list of universities is updated every semester on ISSA website, so you have to check the

website click here to know available universities, terms of stay, and available slots. Please refer

How many universities should I add while completing my AUC online application?

You can add up to three exchange universities, and up to two study abroad universities (if you

are willing to take the study abroad option). You can only choose from the list in the application,

if a university is not in the list, this means that there are no available slots at such university.

Do I have to add both the exchange and study abroad university choices while completing

my AUC application?

No, you can only put the list of universities you are interested in, so if you are only interested in

exchange opportunities, you don’t have to list the study abroad university choices, and vice

versa.

How can I choose the host university?

First, you have to check the comment column on the ISSA website list to make sure that your

major is not restricted at the host university.

Second, you have to make sure that your major is available and strong at the host university

website. You can refer to your academic adviser for such information

Can I travel to a non- affiliate university? Will ISSA help me out with the procedures?

Yes, you can travel to a non-affiliate university, but it will be on study-abroad basis not exchange

basis. ISSA will not support any applications to non-affiliate universities. Furthermore, ISSA

will not support applications to partner universities that do not go through ISSA application

process.

What if I miss the AUC application deadline?

There are two application cycles, one at the beginning of the fall semester and the other one at

the beginning of the spring semester, so if you miss the fall cycle deadline, you can apply to the

spring cycle.

Application Screening and Selection:

How can I know that my application got accepted?

Once your application goes through eligibility screening for GPA, a complete application and a

general evaluation of your resume and personal statement, after passing these two stages, ISSA

will send you the first acceptance email with your interview time.

Who will interview me?

The interviewing panel comprises a faculty member from your school and a staff member from

The Office of Strategic & International Initiatives.

How will the interview panel evaluate me?

The panel will evaluate your academic performance, your extracurricular activities, your resume,

and your work experience/internships.

How do I know that I passed the interview?

You will receive a final acceptance email from the ISSA office that includes your awarded

No, you can’t. Placements are final and are based on the panel decision.

After acceptance, what are the next steps?

You will be invited to the Post Nomination Orientation (PNO), this session is mandatory.

Information about the time and the date of the session will be sent to you in the final acceptance

email. Failure to attend the PNO will result in reviewing your nomination.

What if I got accepted but I couldn’t travel, can I withdraw?

Yes, you have a chance to withdraw only before completing the host university application. If

you decline the Exchange/Study Abroad opportunity after completing the host university

application, you cannot apply to any exchange/study abroad program administered by ISSA

during the next academic year. You may request exemption from this rule if you had declined

due to force majeure. While you must provide proof of the emergency situation that hindered

your travel abroad, the decision to give you an exemption from this rule is at the discretion of

ISSA

I applied but I got rejected, can I apply next semester?

Yes, you can apply to the next cycle given that you will not be spending your last semester

abroad.

Host university application:

When am I supposed to start completing the host university application?

First, ISSA will have to nominate you to the host university, and then you will receive an email

from ISSA with the host university application and guidelines to follow.

Who will help me out with the host university application?

ISSA will help you with the host university application and throughout the process

Can I contact the host university directly?

No, you can’t. All your inquiries should go through ISSA.

Course Transfer and Evaluation:

How many courses should I take while I am abroad?

If you are on exchange basis you have to take a number of courses equivalent to 15 credit hours.

Please be aware that if you take less credit hours abroad, you are going to pay for 15 credit hours

at AUC. If you are on study abroad basis, you have to be a full time student in order to be

eligible for the student visa.

You have to check your four-year plan, discuss your study abroad with your academic advisor

If the courses I am interested to take abroad are on the Transfer Credit Equivalency Tool

(TCE), do I still need to go to the Registrar Office?

Yes, you have to. It is a must to go to the Registrar Transfer Unit to make sure that the courses

will be transferred.

If the courses I am interested to take are not on the TCE, does this mean that I can’t take

this courses?

No, you just need to go to the Registrar Office to make sure that the course will be transferred

back to AUC. The TCE doesn’t have all courses that all host universities offer.

My awarded university is not on the TCE, does that mean that I can’t go there?

No, the TCE doesn’t include all our partner universities, so you have to schedule an appointment

with the Registrar Transfer Unit to check credit transferability.

You don’t have to apply for these scholarships. Selection Panels will recommend awards to some

selected candidates. Final award decisions to receive theses scholarships will be made by ISSA.

that my AUC scholarship/financial aid will be cancelled?

How will the exchange/study-abroad program affect my GPA at AUC?

The courses taken during an exchange/study-abroad program are transferred as AUC credit if the
