Premiere Global SmartView is a user friendly tool designed to help you manage your conferencing service, invoice, and budget. This industry-leading billing and reporting system will give you the ability to access timely usage information in a variety of formats. Navigation Summary (Short Version)

1. Go to www.premiereglobal.com/smartview and then enter your existing Client ID and Web Password.

2. Click on the “Your Bill” button to view billing cycle data or “Reports” button to customize the date range of the data set.

3. Select a Billing cycle or date range. 4. Choose to view your data sorted “by user” or group “all users” together. Then choose

one of these options (by user or all users) from the View Type pull down menu. 5. View your usage information and click on a specific call for more detail or sort by

clicking on the column headers. Please continue reading for detailed navigation instructions (Longer Version). Getting Started Go to www.premiereglobal.com/smartview. Sign in with your existing Client ID and Web Password. If you do not know your Client ID and/or Web Password, please contact your Account Manager/Sales Representative.

Start using Premiere Global SmartView by clicking on either the “Your Bill” button or the “Reports” button.

• Your Bill – view data for a specific billing cycle. • Reports – view data where you choose the data range.

Your Bill

Click on “Your Bill” Step #1: Choose a Billing Cycle (Billing Period) Choose a billing cycle from the pull down menu. Step #2: Select the View Type Choose how you would like to view the data:

• Option #1 - By User: By selecting this option, Premiere Global SmartView will present the data sorted by moderator. To view a moderator’s specific usage, click on a specific moderator name. Then click on the green “Conferencing Services” button that will appear under the moderator name to view his/her usage.

• Option #2 – All Users: By selecting this option, Premiere Global SmartView will

present the data for all users combined into one list of call data. After selecting “All Users”, click on the green “Conferencing Services” button that will appear under the Current Changes header.

Now you are ready to look at the summarized data and drill down into the details of the usage table. Drill Down for additional detail

• Now that you have a list of calls on your screen, drill down for additional detail by clicking on the “+” sign next to the call (on the left side of your screen).

• Drill down again for participant level detail by clicking on the down-right arrow button in the call summary. Click on Conf Minutes to display the per minute detail for each participant on the call. Click on Conf Features to display information on features used on this call.

• You can move back to the previous screen by clicking on the up-left arrow button.

Sort Your Data To sort the data on your screen, simply click on one of the column headers. The first click will sort the data by that column or field in ascending order (low to high with the column header arrow pointing up).

Click on the column header again, and the data will be sorted in descending order (high to low with the column header arrow pointing down). Billing History (Click on the “Your Bill” button to get to the screen displayed above) Click on the “Billing History” button at the top of the screen for a snapshot graph of the total charges by billing cycle.

Reports

Click on “Reports”

Super Users that have access to the data for multiple users will need to choose if they want to view just their individual data (select “Your Charges”), or view the data for a group of users (known as the hierarchy for all of those users – select Company ID “123456’s Hierarchy”). Contact your Account Manager/Sales Representative if you need to set up a Super User for your organization. Individual users will only have the option to view their own usage. Individual users must click on the Reports tab (the Your Bill tab will not work for individual users). Click on “Select Date Range and View Type” Step #1: Select the Date Range Enter the Start Date and End Date to look at a specific group of usage within that date range

Step #2: Select the View Type Choose how you would like to view the data:

• Option #1 - By User: By selecting this option, Premiere Global SmartView will present the data sorted by moderator. To view a moderator’s specific usage, click on a specific moderator name. Then click on the green “Conferencing Services” button that will appear under their name to view his/her usage.

• Option #2 – All Users: By selecting this option, Premiere Global SmartView will

Filter

This feature is available from both the “Your Bill” section and the “Reports” section. You can use the filter feature to change a large data set into smaller, more manageable pieces.

Create or Define a Filter To create a filter, click on the Define Filter button. (This is the button with the magnifying glass, not the checkbox) This will take you to the Define Filter screen.

Your first step is to click on the “Add” button to create your first filter. Then, select the column name that you would like to filter, followed by your criteria for that field in the remaining boxes. For example, if you only want to look at conferences over 300 minutes, click “Add” and then choose “Minutes” from the pull down menu. To the right of minutes, choose “is greater than” from the pull down menu. Then, type 300 in the third box. If this is your only filter, click the “OK” button and you’re done.

Turn Filter On or Off To turn the filter on and off, simply click on the Filter checkbox. When the box is checked, your filter (or set of filters) is turned on . Click this checkbox again to turn the filter(s) off. Multiple Filters If you want to use multiple filters, you can define your first filter (complete the 3 boxes for the filter) and then click the “Add” button again. You will now see 3 more boxes that you can use to define your second filter. An example of this would be to add 1 more filter to the “Minutes greater than 300” filter listed above. Your second filter could be a date parameter, like “Start Time/Date” “is less than “08/01/2005”. By using these 2 example filters, you will now look at all calls over 300 minutes than occurred before (less than) 08/01/2005. When using multiple filters, Premiere Global SmartView will only show data that meets the criteria of ALL filters. To remove a filter, simply click on the “Remove” button that is immediately to the right of the unwanted filter.

Export

This feature is available from both the “Your Bill” section and the “Reports” section. You can export (or download) the details of your screen to a spreadsheet format. This CSV file type is easy to manage in Excel, and it is also compatible with other accounting software. Use the export function to get a spreadsheet version of the active data on your screen. For example, if your screen states Page 1 of 10, Premiere Global SmartView will export all 10 pages.

Option #1 – Export a list of calls. When you have a list of calls on your screen, you can export this entire list by clicking on the export button. Then you will see a pop up window:

• (Recommended) Click “Save” to manipulate this file in Excel. After clicking on the save button, choose a location or folder on your computer and then open the file in Excel.

• (Not Recommended) Click “Open” to view the data on your screen.

Option #2 – Export the participant level detail of a call. When you have drilled down into a call, you can see the participant level detail (you will see each line of a specific call). You can export the participant detail of this one call by clicking the export button with the participant data on your screen. Then you will see a pop up window:

• Click “Save” to manipulate this file in Excel. After clicking on the save button, choose a location or folder on your computer and then open the file in Excel.

• Click “Open” to view the data on your screen.

PDF Invoice

Click on “Your Bill” to get to this screen. View Your Hard Copy Invoice To view and print a “hard copy” invoice, simply click on “Downloads” and then select a closed billing cycle* (a billing cycle with a number next to it). The billing cycle is simply the date range for a specific billing/invoicing period. After selecting the billing cycle, click on the file name for this PDF file. The file name will use the following format, “USA001234.pdf”. * Do not choose the existing “open” billing cycle of “Month/Day/2005 through today” because there will not be a PDF invoice for this open billing cycle. This enables you to have an electronic copy (a PDF file) of a specific invoice – the exact same format as the paper copy that is mailed to you. You can now print this file or save it to your computer for easy reference and storage. This empowers customers to store or file invoice copies electronically, instead of having to save a file of the paper invoice. Notes:

• You will need to have Adobe Acrobat Reader software to view this “PDF” file. Most users already have this software installed. This free software is available for download at www.adobe.com.

• You may want to check the total number of pages before printing a paper copy of your invoice.

• If you are storing an electronic copy of your invoice for your records, you may want to store it on a computer than is backed up on a regular basis.

Online Bill Pay

To make a payment, click on the “Your Bill” button and select a closed billing cycle (a billing cycle with a number next to it). Then scroll down to the bottom of the page.

In the section titled “Payments”, you will see many instructions for various payment options, including Payment by Credit Card, an address for mailing payments, and other electronic payment options. To use Online Bill Pay, click on the “click here” words under the credit card symbols.

Make a One-Time Payment When you see the Online Payment Methods section (after clicking on “click here” on the previous screen), click on “Make One-Time Payment”. Then enter your credit card information and the payment amount that corresponds with this billing cycle. Note that the associated Invoice Number is already populated on this screen for your convenience. The Invoice Number corresponds with the Billing Cycle that you initially chose from the pull down menu at the top of the screen.

After completing this section you can also click on the check box “Store for Automatic Payment”. All of the information you enter on these online bill pay screens is stored on a secure server with additional security and encryption protecting your information. Set Up Automatic Payments When you see the Online Payment Methods section, click on “Setup Automatic Payment”. Then enter your credit card information into the fields provided. Once you are set up on Automatic Payments, Premiere Global will automatically charge your credit card for the conferencing services on your invoice. This charge will be applied once per billing cycle at the end of your billing cycle. You will still receive the usage detail, but you will not have to do anything else to remit payment. All of the information you enter on these online bill pay screens is stored on a secure server with additional security and encryption protecting your information. View Your Payment History When you see the Online Payment Methods section, click on “View Payment History”. This will show you a graphical summary, by billing cycle, of all of your online payments. This screen will not show records of payments that are made outside of this online interface.

Who can view the usage information?

Moderator or User – This conferencing user has access to his/her usage information, including timely access to participant detail for calls hosted by that moderator. These moderators do not have access to data from any other moderator. Payer (Bill To Moderator) – This moderator has access to specific invoices and all of the usage that rolls up on those invoices. Super User – This moderator is set up to view all usage in an enterprise. Contact your Account Manager/Sales Representative if you need to set up a Super User or if you have other questions about these topics.

What information is available? Premiere Global SmartView will host up to 18 months worth of data. (North America customers will have access to data after May 2005) Billing Cycle Terms Billing Cycle or Billing Period – Premiere Global creates a bill/invoice for customers by grouping together all usage and charges for a specific time period. This time period is referred to as the billing cycle. For example, the 1st through the end of the month would be one billing cycle. Closed Billing Cycles – Data from previous billing cycles. Data will not be changed or modified. Open Billing Cycles – Data from the current (open) billing cycle is available. However, the data in an open billing cycle has not been invoiced and there may be changes to this data (like the application of taxes) before the billing cycle is closed. Once the billing cycle is closed, Premiere Global will create an invoice for this billing cycle.

Help Premiere Global SmartView Help provides information on how to personalize, view, and use your online Bill and Reports, as well as how to use the various other options. Whenever you log on to Premiere Global SmartView and click the Help button, help pages display information to further define the current screen.
