Employee Information: What‘s New in mySAP ERP 2005?

The Employee Information iViews have been converted to Web Dynpro and are part of the Business Package Self-Service delivered for mySAP ERP 2005. Some iViews have enhanced functionality, about which we will see in detail in the subsequent slides.

In the standard delivery, the end-user can access the Employee Information Portal pages by choosing the following path: Manager Self-Service -> Overview -> Team. In the Services iView, he/she selects one of the pages following standard delivered Portal pages:

General Information (com.sap.pct.erp.mss.general_information)

Compensation Information (com.sap.pct.erp.mss.compensation_information)

Personnel Development (com.sap.pct.erp.mss.personal_development)

These pages offer extensive information to the manager about team members of his/her area of responsibility. Mainly they read out data from different infotypes in the mySAP ERP back-end (ECC 6.0).

Employee Information - Employee Search

New iView for employee search

The Business Package for Manager Self-Service as delivered for mySAP ERP 2005 contains a new iView to search for employees. This iView is the selection part for all Employee Information pages. The manager first selects an employee from this iView. All other iViews react to the selection an display the data for the selected employee.

The Employee Search iView is based on the Object and Data Provider (OADP) customizing. The customizing is described in the Implementation Guide (IMG) and can be found in the SAP Reference IMG under the following path: Integration with Other SAP Components -> Business Packages/Functional Packages -> Manager Self-Service (mySAP ERP) -> Object and Data Provider.

Note that the Object and Data Provider (OADP) has been redesigned. A learning session for the changed OADP capabilities is available and part of the Online Knowledge Product for the Manager role as part of the End-User Service Delivery/People Productivity material.

Employee Search: Selection, Navigation and Display Data

The Object and Data Provider (OADP) customizing can allow an iView to display the following parts:Organization View Selection Area- This parts allows a manager to select a organizational view on his/her area of responsibility such as

Direct Reports or All Employees. The Navigation Area, the Data View View Selector Area and the Data Area react to this selection. Technically, the so called organization views are used for the configuration of the organization view selector. The organization views are grouped. A group is called an organization view group.

Navigation Area- This part allows a manager to select an organizational object. Once a manager has selected an

organizational view, the navigation area displays the appropriate navigation structure. The Navigation Area allows to reduce the number of objects displayed in the Data View Area. It makes sense to customize a Navigation Area for a selection in case a lot of objects are expected to be displayed for an organization view. This could be the case for managers on higher organizational elvels or in case a lot of objects are part of an organizational unit or cost center, for example. Technically, the so called navigation objects as part of the OADP are used to configure the Navigation Area.

Data View Area- This area displays the objects that are in accordance to the selection done in the Organization View

Selector Area and the Navigation Area. For each object found, the system displays a table row. The information given in the single columns represents attribute information. The set of attributes displayed results out of the selection doen in the Data View Selector Area.

Data View Selector Area- The attribute information for each object that is displayed in the Data View Area is influenced by the

selection doen in the Data View selector area. Whena manager slects another Data View in the Data View selector area, he/she can switch to another set of attribute information. Technically, columns are assigned to a certain Data View. The Data View Selector area allows the manager to select betwenn certain sets of columns. It can make sense to offer different sets of information. For example, customers can offer their managers to display general information for the objects or organizational information. For teams and tasks that need a lot of communication, it can make sense to display communication information and therefore a view could display all relevant communication information such as inhouse telephone number, office data, e-mail address, mobile phone number,...

The standard implementation of the Employee Search iView comprises the following elements:

The Employee Selection (Organization View Selector Area) allows a manager to select a certain organization views. The standard implementation allows to select

- Direct Reports (MSS_TMV_EE_DIR)

- Employees from Organizational Structure (MSS_TMV_EE_ORG2)

- Employees from Organizational Units (MSS_TMV_EE_ORG1)

- Employee Search (MSS_TMV_EE_SRCH)

In case the Direct Reports organization view is selected, the standard implementation offers the Data View Selector Area and the Data View Area – no Navigation Area is used (see screenshot).

If a manager selects the Employee From Organizational Structure (MSS_TMV_EE_ORG2) organization view, a Navigation Area is displayed. The standard implementation displays the organizational unit structure the manager is responsible for. The objects displayed are displayed as structure. The Navigation Area allows a manager to select a certain organizational unit. A user can select only one object. Once the manager has clicked on an organizational unit, the Data Selector View and the Data Area are displayed. The following two Data Views are part of the standard implementation:

By clicking on the Personalize button, the manager (user) can personalize the column set(s).

A customer in general can influence which personalization is possible for the iView. You find more information about configuration (done by system administration ) and personalization features (done by the end-user) in the System Administrator learning session as part of the Online Knowledge Product for end-User Service Delivery/People Productivity.

If a manager selects the Employee from Organizational Units (MSS_TMV_EE_ORG1) organization view, the system displays the objects belonging to this organization view in a list.

The Employee from Organizational Units organization view allows a manager to select more than one organizational unit. For example, he/she can click on the Select All button to mark all organizational units displayed or select one or a certain number of organizational units.

To select a single organizational unit, the manager clicks on the checkbox related to the organizational unit.

In order to select multiple organizational units, the manager first clicks on the checkbox related to the organizational unit. For each following organizational unit he/she wants to select, he/she presses Shift and clicks on the next organizational unit.

In order that the system displays the related data in the Data View, the manager needs to click on Go.

EE Profile/Employee Search – Simple Search Scenario

Simple search scenario

The following search capabilities are provided:- Correct and full entries in the search fields (e.g. Colazzo, 1942)- Wildcard search entries (C*, C+lazzo)

The Employee Search organization view is an additional possibility to find an employee.

This search scenario makes sense in case he/she does not have much information about the employee he/she is searching.

The search is a back-end search. This means the system identifies the employees that match to the search criteria in the mySAP ERP back-end system and displays the result on the front-end.

In the standard implementation, a manager can search by the following fields:

Last name

First name

Middle name

Personnel Number

The search allows for the following:

- Enter correct and full information in one or more of the fileds (e.g. Colazzo (Last name), Francesco (First name) and/or 1941 (Personnel Number)).

- Enter wildcard search entries (e.g. C* or C+lazzo).

Please note: The search is case-sensitive.

Once the manager has entered entries in the fileds, he/she needs to press the Go button.

Advanced search scenario – data view area shows data for the first ten employees. Manager can navigate within data view. To show next ten employees, manager clicks on Next 10 Hitsbutton.

In the Advanced search scenario, the system displays in the data view area the result for the first ten objects found.

The manager can navigate in the data view area and display the ten employees with their related data.

To display more emplyoees, the manager uses the navigation buttons as part of the search scenario to get the next number of hits found for the search.

The search scenarios that are delivered in SAP standard are example search scenarios.Customers can create their own search scenarios.The creation of own scenarios is done in the Object and Data Provider (OADP) customizing available for the Business Package for Manager Self-Service.Note that the Object and Data Provider (OADP) has been redesigned. A learning session for the changed OADP capabilities is available and part of the Online Knowledge Product for End-User Service Delivery/People Productivity.In the SAP Reference IMG you find the activities to customize a new search scenario or to change a SAP-delivered one. Choose Integration with Other SAP Components -> Business Packages/Functional Packages -> Manager Self-Service (mySAP ERP) -> Object and Data Provider -> Object Provider.

Example: You would like to enhance the Advanced Search with one more field that is provided to the user, namely the cost center field. It is assumed that you would like to use the Selection ID concept that is delivered in the standard. In that case you can use the standard search class CL_HRWPC_SEARCH_VIA_SELID.To add the additional search parameter for the cost center, you simply need to create a selection ID that contains the relevant fields. Step A: You create the selection ID in the IMG activity Define Selection ID. In the SAP Reference IMG, you find the IMG activity under the following path: Personnel Management -> Human Resources Information System ->Selection IDs – Define Selection IDs.1. Create a new Selection ID.2. Define a combination.3. Define a structure.4. Define the fields, i.e. add the field KOSTL to the content of field you would like to provide.

The next step is that you group your selection IDs. The group is the so called parameter group.

You perform this step in the IMG activity Group parameters for Object Search (V_TWPC_PARAMGRP). You find more information under Integration with Other SAP Components -> Business Packages/Functional Packages -> Manager Self-Service (mySAP ERP) -> Object and Data Provider -> Object Provider -> Group Paramters for Object Search.

As in the example scenario, the parameter for the advanced search should be replaced, you can copy the standard parameter group. In the example scenario, the standard parameter group MSS_TMV_SRCH is copied to the custom-specific parameter group Z_MSS_TMV_SRCH.

I the substep Assign Parameters, you need to exchange the standard parameter (i.e. selection ID) for the advanced search with your own parmater (i.e. Selection ID) for the advanced search that you have created. In the example, the parameter MSS_TMV_ADV_SEARCH is replaced by the Z_MSS_TMV_ADV_SEARCH parameter.

The next step is to create a new object selection. As it it assumed that you use also selection ID concept, it is not necessary that you need to create a new search class. You can use the delivered search class CL_HRWPC_SEARCH_VIA_SELID.

You perform the IMG activitiy Define Object Selections (V_TWPC_OBJSEL). You find more information under Integration with Other SAP Components -> Business Packages/Functional Packages -> Manager Self-Service (mySAP ERP) -> Object and Data Provider -> Object Provider -> Define Object Selections.

1. Create a custom-specific object selection. In this example, the custom-specific object selection Z_MSS_TMV_SRCH was created.

2. In the detail maintenance, you need to assign the parameter group that you have created in the previous step.

In the next step, you need to create a new organization view.

Therefore you perform the IMG activity Define Organizational Structure Views (V_TWPC_ORGVW). You find more information under Integration with Other SAP Components -> Business Packages/Functional Packages -> Manager Self-Service (mySAP ERP) -> Object and Data Provider -> Organizational Stucutre Views -> Define Organizational Structure Views.

1. Create a custom-specific organizational view.

2. In the detail maintenance, you assign your object selection and a group of data views (for example the data group view MSS_TMV_EE; this will display the set of columns showing communication data, attendance information for the selected emplyoees.) You could also use the MSS_TMV_ORG data view group with a different set of columns or any custom-specific data view group that displays a custom-specific set of columns and their content.

In the next step, you need to assign your organization view to a view group. In our example, the new organization view is assigned to a SAP delivered organization view group (MSS_TMV_EE). You could assign the new organization view also to a custom-specific organizational view group.

You perform the IMG activity Group Organizational Structure Views (V_TWPC_ORGVWGRP). You find more information under Integration with Other SAP Components -> Business Packages/Functional Packages -> Manager Self-Service (mySAP ERP) -> Object and Data Provider -> Organizational Stucutre Views -> Group Organizational Structure Views.

2. In the detailed maintenance, assign your organizational view to it.

Most of the Emplyoee Informaton iViews have so called iView properties to influence the application (i.e. Data to be displayed, business logic to be used,...).

The properties can be maintained by the system admministrator who has access to the Portal Content Administration within the SAP Enterprise Portal.

Choose Content Administration -> Portal Content -> Portal Content provided by SAP -> Content for line managers -> hcm -> <Name of Position Profile iView, e.g. Profile Matchup>. Position your cursor on the iView name and via right mouse click choose Open -> Object. As Property Category select Self-Services. You find the properties displayed.

For details, click on the arrow in front of the property name. It will display whether this property can be maintained by the system administration or the end-user. In case of the example shown in the screenshot, in the standard delivery the Display Mandatory Training Table property is targeted to allow the end-user to decide whether this application part should be displayed in the Profile Matchup iView or not. As system administarator you can decide to allow this for end-users or not and may change the entry in the End-User Personalization field.

If a property is defined to be read and written (Read/Write) by the end-user, this enables the end-user to maintian values for a certain property by himself/herself out of the iView.

In the standard delivery, the General Information Portal page contains the following Employee Information iViews:

Employee Search (com.sap.pct.erp.mss.generalinfo_employeesearch) - This iView allows the manager to select an employee. In accordance to the selected employee, the

system displays information for this employee in the iViews below.- The functionality of this iView is based on the new Object and Data Provider (OADP) customizing.

Please note that there is a special learning unit available for the OADP enahncement in mySAP ERP 2005 as part of the Online Knowledge Product (OKP) for the technical topics of the Manager role in mySAP ERP 2005 (i. e. People Productivity Learning Map).

General Data (com.sap.pct.erp.mss.generalinfo_generaldata) - This iView displays general data of the employee such as contract, organizational and communication

data. It allows the manager to send an e-mail to the employee.Photo (com.sap.pct.erp.mss.generalinfo_photo)- This view lets the manager display the photo of the selected employee that are stored in the SAP

This iView provides managers with general data about employees in their area of responsibility (for example, contact data such as office, telephone number, or e-mail address).

The iView also displays the following data:

Personnel number

Hiring date

Organizational assignment

The system determines the contact data according to the following procedure:

The system reads office and telephone data from Internal Control (0032) infotype

The system reads the Communication (0105) infotype

The system reads the e-mail address (subtype 0010)

If the Internal Control (0032) infotype does not contain a telephone number, the system reads the telephone number from subtype 0020 of the Communication infotype.

If the system cannot find the data when reading the infotypes and subtypes, it reads user data.

The system reads the remaining data from the Organizational Assignment (0001) and Basic Pay (0008) infotypes.

This iView displays the company property that has been made available to an employee.

This iView has been converted to Web Dynpro (Java).

This iView lets the manager display the company property that has been made available to employees assigned to his or her area of responsibility. The system reads the data from the Objects on Loan infotype (0040).

The system displays the data as a tabular overview for the current time. In a text area below the table, the system displays three lines of a note relating to an object that the manager selects in the table.

If an object on loan is related to a cost center, the system also displays the cost center in the table.

General Information – Absence Days

This iView displays absence data from the Absences infotype (2001).

This iView has been converted to Web Dynpro (Java).

This iView lets the manager display absence data during a given period for the employees in his or her area of responsibility. The system reads the absences from the Absences infotype (2001).

The system displays data in a list and in a calendar.

The list provides an overview of all data that exists in the period specified in the user parameters. The list is sorted in such a way that the absence period that lies furthest in the future, is displayed first in the list.

The individual absence periods are displayed as links. You can click on a period to access the relevant month in the calendar.

The calendar provides you with a quick overview of an employee’s absences for a two month period. You can scroll to other months in the calendar. The system only displays absences that occur in the period specified in the user parameters.

When you call the application, the absence that is displayed first in the list is highlighted in color in the calendar. After you have selected a different absence, this absence is highlighted instead.

If you want to display specific absence types only in the current list or calendar, you can filter the list.

In Customizing, you can restrict which absence types are output.

This iView displays salary development data based on payroll results or based on infotypes Basic Pay (0008), Recurring Payments and Deductions (0014), and Additional Payment (0015).

This iView has been converted to Web Dynpro (Java).

This iView lets the manager display salary development data for employees in his or her area of responsibility. The data is displayed for a given period, for example, cumulated annual values for salaries, bonus payments, and so on.

The iView can determine annual values based on payroll results or based on infotypes Basic Pay (0008), Recurring Payments and Deductions (0014), and Additional Payment (0015).

The data is displayed in the iView in tabular form. In addition, users can choose the property DisplayChartto display a diagram.

You must also have defined which annual values you want to be displayed and the wage types that are to be evaluated. Make these settings in the Implementation Guide (IMG) for the Business Package for Manager Self-Service, under Manager Self-Service (mySAP ERP) → Employee Review → Define Wage Types for Annual Salary.

Under Manager Self-Service (mySAP ERP) → Employee Review → Adjust Periods for Annual Salary, you can use enhancement HRWPCEP1 to adapt the periods used for determining the annual salary to suit your customer requirements.

Employee Information – Compensation Information

The Compensation iViews are based on SAP Enterprise Compensation Management (ECM). They have been converted to Web Dynpro (Java). In the standard delivery, the Compensation Information Portal page contains the following Employee Information iViews:

Employee Search (com.sap.pct.erp.mss.compensationinfo_employeesearch) - This iView allows the manager to select an employee. In accordance to the selected employee, the

system displays information for this employee in the iViews below.- The functionality of this iView is based on the new Object and Data Provider (OADP) customizing.

Please note that there is a special learning unit available for the OADP enahncement in mySAP ERP 2005 as part of the Online Knowledge Product (OKP) for the technical topics of the Manager role in mySAP ERP 2005 (i. e. People Productivity Learning Map).

General Data (com.sap.pct.erp.mss.compensationinfo_generaldata) - This iView displays general data of the employee such as contract, organizational and communication

data. It allows the manager to send an e-mail to the employeePhoto (com.sap.pct.erp.mss.compensationinfo_photo) - This view lets the manager display the photo of the selected employee that are stored in the SAP

tray is not displayed on the page.

Compensation Information – Salary Data

This iView displays each employee’s current salary compared with the internal specifications for his or her salary group, the compa-ratio to the reference salary, and the percentage position in the salary range.

This iView has been converted to Web Dynpro (Java).

This iView allows the manager to display each employee’s current salary compared with the internal specifications for his or her salary group, the compa-ratio to the reference salary, and the percentage position in the salary range. The data comparison is displayed in a graphic thereby enabling the manager to see at a glance whether the employee’s salary is above or below the reference salary.

If you set this property (DisplayPercentInRange) to ‘true’, the manager can see how much an employee earns as a percentage of the salary range.

Minimum salary: 40,000

Maximum salary: 50,000

If an employee earns 42,500, then the position within the salary range is 25%.

Graphic that compares the survey data and the employee’s current salary

The administrator can set up which percentile is to be displayed for the salary and survey data and whether average values are to be displayed. The administrator can also specify whether the percentage and absolute difference between the survey result and the employee salary data is to be displayed.

This iView has enhanced functionality and is based on Web Dynpro (Java).This iView displays an overview of an employee’s skills and training level and lists mandatory training.The iView has three user interface parts:

Required and Existing Qualifications- This parts displays a comparison of the requirements of a position that are defined for the position the

employee is currently assigned to and the qualifications of the employee. In case a qualification is missing or a proficiency is less high than defiend for the position, the system indicates this in the Status column (red icon).

Recommended Training Courses- The system displays training proposals for the qualification gaps that were identified.General Mandatory Training Courses- This part displays mandatory training for the employee in case those were defined for the

organizational unit the employee is assigned to.In case the employee has multiple positon assignments within the manager‘s area of responsibility, the manager can select a position in the drop-down box on top of the iView.

The iView reads training data from the SAP Learning Solution, version 6.00. The iView has configuration options to not display a certain user interface part.RFC Function Modules called:
