Overview of the Evaluation Support Role
What is the Evaluation Support role? The Evaluation Support role (formerly known as 2nd Manager) is a custom SuccessFactors role that was created as a tool available to managers who have 25, 50, or even more direct reports. This role is intended to alleviate the stress of completing a large number of performance evaluations during the time limitations of our new common review period.

What is the Evaluation Support role? The Evaluation Support role allows managers to identify an alternate to manage myPerformance for one or more employees. These individuals are responsible for completing the Mid-Year and Annual evaluations in SuccessFactors; they also have the ability to manage those employees’ goals. The direct manager has ongoing access to the goals during the full year, and is responsible for the final sign-off of the performance evaluation.

The individual identified as the Evaluation Support person must be an acknowledged Team Lead or above.
Example: Nursing NCIIM or aboveAn employee can only have one Evaluation Support person assigned.The Evaluation Support person can be assigned to multiple employees.

How to Assign Evaluation Support
Currently, departments can assign Evaluation Support by submitting a request in Excel format to the SuccessFactors system administration team by emailing [email protected]. The spreadsheet must list the position number of the person in the Evaluation Support role and the position number of the employee(s) they will be supporting. No other information is required.

In the future, this will be handled through a transaction in SAP. Once that functionality is fully implemented, more details will be made available.

FY16 Deadlines for Evaluation Support Assignments
For Employees Hired/Promoted/Transferred PRIOR to Nov. 1, 20151. An Evaluation Support request is due no later than November
16, 2015.
2. Employees hired/promoted/transferred prior to November 1 will receive their performance forms on December 1, 2015. All employees will receive the standard performance form – with the direct manager responsible for all review steps – except those who have had an Evaluation Support person assigned prior to November 16, 2015.
3. Employees who have had an Evaluation Support person assigned prior to the deadline will instead receive an Evaluation Support form, which will route to the Evaluation Support person for the Mid-year and Annual Review steps.

Direct Manager View As the direct manager, you can view which employees have an
Evaluation Support person assigned to them. This is done using the Organizational Chart.
Once in the Org Chart, employees who have an Evaluation Support person assigned to them will have the link below their names.

Employee View Individual employees can view the Evaluation Support
person assigned to them from their Organization Chart by clicking the link.

Managing Goals for Evaluation Support
Individuals in the Evaluation Support role have the ability to manage goals for the employees who report to them. This is done by going to your goal plan and clicking the downwards arrow next to your name.
The employees will be listed under Matrix Reports. For step-by-step instruction on entering goals as a manager, see the “Establishing Goals for Managers” quick reference guide.

Completing Performance Evaluations for Evaluation Support
The standard performance evaluation form in SuccessFactors routes to the employee’s direct manager for the Assessment stages of the review. When using Evaluation Support, the performance evaluation form will route to the person identified in the Evaluation Support role for the assessment steps.

Conclusion
Evaluation Support is an effective way for managers with a large number of employees reporting to them to distribute the reviews to accommodate a common review date.
The Evaluation Support role allows an employee in a Team Lead or above position to manage another employee’s performance management process in place of the manager.
The deadline for assigning an Evaluation Support person for any employee who started before November 1, 2015 was November 16, 2015. However, the Evaluation Support person for an employee can be updated as often as needed.
