1. GENERAL GUIDELINES TO ALL THE EXHIBITORS

1.1 EXHIBITION DIRECTORY Each exhibitor will have an entry in the Exhibition Directory giving exhibitors Company Name, Address, Stall No., Tel. / Fax No., Product(s) ranges. Please complete Form No. 5 (also available Online form on www.trafficinfratechexpo.com) and send it before 27th September 2021 . Those exh ib i to rs , who fa i l to send the form within the stipulated time, will be listed with whatever information about them is available with the organisers at that time. The organisers will not be responsible, in such cases, for incomplete or inaccurate data published about those exhibitors.

1.2 PROCEDURE FOR GETTING POSSESSION OF STALLS a) Possession of Stalls will be given to those exhibitors who have made full payment only.

b) The Exhibitor must send a letter of authorization on their company letterhead* requesting the organisers togive possession to their representative named in the letter to take possession of the stall. The authorizationmust be submitted to the site office of the organisers in duplicate along with letter mentioning of fullpayment made.

c) An approval on Drawing / Designs of the Stall has to be necessarily obtained from the organisers 30 daysin advance. (The above is required in case exhibitors use their own stall contractor other than thestandard shell stall provided to them.)

1.3 DISMANTLING & REMOVAL OF EXHIBITS Exhibitors are requested to dismantle their stalls only after 6pm on 28th Oct 2021 and complete by 11.59pm on 28th May 2021 any delay will lead to penalty to exhibitor. Exhibitor stand contractor is required to deposit security deposit of Rs. 50000/- with the organiser. The same shall be returned after 10 days from the last day of the exhibition.

Exhibitors have to necessarily obtain “Exit Passes” from the organiser’s office for hassle free exit of display material. The same will be available on 28th May 2021 after 4pm at the organiser Office against nil due of organiser and stand contractor.

1.4 FURNITURE HIRE AND STAND FITTING EXTRAS On-Site Services are able to offer a limited range of quality furniture and stand fitting extras for hire to exhibitors. An illustration of furniture items with rate are shown with the furniture order form. Orders may be made using the relevant form and should be made in 10 days in advance to avoid disappointment.

Orders received after the due date will be subject to a 50% increase in rental rate. On site order will attract 50% surcharge, and also based on the availability of the ordered item.

1.5 GANGWAYS AND EMERGENCY EXITS It is imperative that the venue emergency access gangways and fire access and escapes remain clear at all times. Plans showing emergency routes can be obtained from the Organiser’s Office

During the build-up and breakdown/dismantling periods of the exhibition the gangways can become extremely congested with packing cases, equipment and general waste in the interests of health & safety, we request all exhibitors and contractors to cooperate with our floor managers and official show contractors to help maintain the emergency access points and gangways clear at all times.

The gangways used in this venue are the minimum permissible by law. Under no circumstances will exhibits, stand dressings, tables & chairs etc. be allowed to encroach into gangways. Please keep your exhibits inside your stands at all times.

1.6 BALLOONS The use of helium balloons (Blimps) and toy balloons is not permitted.

1.7 VEHICLES (EXHIBITS & DISPLAYS) If you wish to display vehicles on your stand, you must receive approval from the operations team, the vehicle details should be included within your stand drawings. The following criteria must be adhered to when display a vehicle in the halls.

The vehicle must be static and have its engine switched off for the duration of the exhibition • The fuel tank must be drained• The vehicle must have a lockable fuel cap• The vehicle must have a drip tray placed under the engine• The battery must be disconnected• A 24hr contact name and number must be given to the Organisers• The vehicle keys must be left with the Organisers in case removal is necessary• The Organisers accept no responsibility for any vehicle that is damaged when being brought into or out of

the hall or once in its final position• Any damage caused to the venue as a result of vehicle movement will be charged back to the exhibitor

as part of the dilapidation costs. Exhibitor must work closely with the Organisers when arranging to bringthe vehicle into the exhibition, as it may be required to enter the halls before the stall construction startsdue to the logistics of building the exhibition stand around the vehicle (organizer can deny entry of suchexhibits which can cause damage to the hall floor

• StorageCare should be taken to excess stock, literature or packing cases/cartons to be stored around or behind your stand, due to the materials being a fire risk. If you require storage on-site, you should contact who have storage facilities available. If you need a place to store empty cartons, boxes, literature etc. Alternatively, you need to make the provision to build a store room into your stand itself or talk to your logistics.

• Lifting and LogisticsR. E. Rogers India Pvt. Ltd. is the official lifting contractors for TrafficInfraTech Expo – Parking InfraTech Expo / Smart Mobility Expo 2021 and will be the only company authorized to perform lifting and fork lifting in the halls. If you require lifting and fork lifting services, please contact the officials of R. E. Rogers India Pvt. Ltd.

PLEASE BE AWARE THAT NO PERSON OTHER THAN EMPLOYEES OF THE OFFICIAL LIFTING CONTRACTOR OR VENUE WILL BE PERMITTED TO OPERATE FORKLIFTS OR ACCESS EQUIPMENT AT TRAFFICINFRATECH EXPO - PARKINGINFRATECH / SMART MOBILITY EXPO 2021 FAILURE TO COMPLY WITH THIS RULE WILL RESULT IN REMOVAL FROM SITE. KINDLY COOPERATE AND COMPLY FOR SMOOTH FUNCTIONING. Exhibitors planning to transport their goods through an international courier are recommended to use the services of the official freight contractor who has special facilities in place for the event.

1.9 SEATED AUDIENCES Any presentation / demonstration likely to interest groups of 10 or more people must be located towards the center of the stand and clearly shown on stand drawings, if it causes obstruction within the gangway and/or nuisance to any other exhibitor, we reserve the right to cancel the presentation/demonstration or restrict the frequency.

1.10 WATER SUPPLY Shall be provided on prior information and comes at a cost. Please contact the organizer for details.

1.11 WASTE MANAGEMENT

All exhibitors and contractors must ensure that they do not discard sharp objects and must ensure that nails and screws are not left sticking out of waste wood these must be removed or hammered flat. Organisers are committed to ensuring that the exhibition is as environmentally responsible as possible. Please help us by keeping waste to a minimum, recycling waste where possible and reporting any incidence of fly tipping to the Organiser. All waste must be removed from the exhibition halls. Any items of waste or stand fitting left in the halls at the end of the show will be treated as waste and disposed of. Any removal costs will be charged to the exhibitor in question. Even though organizer has arranged an agency to clear the debris.

Note: Organiser needs to handover the exhibition hall back to the authority neat and clean without any damage by 5 am on the 29th Oct 2021.

BARE SPACE EXHIBITORS It is mandatory for all the bare space exhibitors to submit the stall design to the organisers on or before 20th September 2021 for approval. The print out copy of the same approved design has to be carried while taking the possession of the stall.

It is mandatory for the bare space exhibitor to share the complete contact details of the stall contractor or designer if they are opting any designer or contractor.

• Stall construction work should be finished by 6:00 pm on October 25, 2021.• Stall contractors can work beyond 6:00 pm and maximum up to 11:00 pm only on October 25, 2021 subject to

the approval from the organizers, by paying a penalty charges of INR 10,000/- /hour /stand.• Stall contractors should make sure that all the stall material should be cleared from the exhibition hall

latest by 11:59 pm on October 25, 2021 (NO EXTENSION WILL BE PERMITTED).

SECURITY DEPOSIT • All stall contractors should deposit a DD in favor of Virtual Info Systems Pvt. Ltd. with the organizers at the time of

taking the possession of the stall as security deposit which will be refunded to them after the completion of theexhibition if they have not violated the rules.

The stall contractor will not be allowed to start the work without making the security deposit.

SHELL SCHEME EXHIBITORS Please be informed that the stall possession will be given on 24 October 2021 at 12 noon and it is mandatory for the exhibitors to take the possession on time. All the work related to stall construction has to be completed before 9 pm on 25th October 2021 and the stall contractor/designer will be asked to clear the hall. Thereafter the hall will be closed for housekeeping and laying of the passage carpet.

1.13 WORKING AT HEIGHT Ground access to areas in the vicinity of any work at height must be controlled to prevent persons walking or working directly beneath the area in question. Ground workers in the vicinity must not work directly underneath and wear suitable head protection (e.g. hard hats)

Ladders must be footed or tied off and used in accordance with construction regulations. The use of domestic ladders and steps is strictly forbidden

1.14 ORGANISER’S RIGHT TO CHANGE STANDS AND FLOOR PLAN LAYOUT In the interests of the exhibition as a whole, it may be necessary to remove or alter anything in - or forming part of - any stand. If we feel this action must be taken this would have to be at the expense of the exhibitor concerned.

The exhibition floor plan is subject to change at the discretion of the Organisers. Please contact the Organisers to obtain the latest version of the exhibition floor plan

1.15 VENUE AND LOCAL AUTHORITY REGULATIONS All work must be carried out in compliance with the regulations of the venue as mentioned in the manual. If an exhibitor causes to be erected a stand which does not conform fully and in all respects to the requirements of the Organiser, venue and Local Municipality, the Organisers reserve the right to alter, demolish or reconstruct the stand at the exhibitor’s expense and to make it conform to the regulations and requirements.

1.16 INSURANCE REGULATIONS The exhibitor is totally responsible for obtaining insurance protection for his exhibits, property and personnel against all risks as stated in the General Conditions. Equipment should be insured both in transit and on location at the exhibition for the entire period it is on the exhibition site.

Insurance cover should include: • Personal injury• Third party claims• Expenses incurred and/or losses of any kind, including losses resulting from the abandonment or postponement

of the exhibition. Medical expenses and baggage cover Value of the stand, including the fittings

1.17 DISABILITY DISCRIMINATION Where exhibitors have a platform in the stand a reasonable adjustment is to incorporate a ramp into the platform the stand. If this is not possible then a signed point should be created where disabled people can be served off the platform at ground level. Whatever the content of the stand it needs to be accessible to all.

Please note the following when designing your stand: • Ensure that your stand incorporates enough space for wheelchair access - 1.2 meters aisle width is

deemed sufficient though only 750mm for an internal door suggesting that 750mm would be enough• The gradient of any ramp should be no greater than 1:12.• Serving counters should have a low access point no higher than 760mm or a lap tray should be provided

for the convenience of disabled people.

1.18 FURNITURE HIRE & STAND FITTING EXTRAS A range of furniture and stand fitting extras can be hired through the official shell scheme contractor. The furniture products on offer can be viewed and ordered via the online manual. Orders received after the form deadline will be subject to a 25% surcharge. ACCESS PROMOTIONS the official vendor will have an on-site service office located within hall throughout build- up period and also during the show period should last minute furniture orders and stand fitting extras be required.

However, please note that there will only be a limited stock available and all orders placed on site with be subjected to a 50% surcharge and payment to be made in cash before delivery. Therefore, we encourage orders to be placed as early as possible via the online manual.

1.19 BANNERS: INSIDE THE VENUE Also please note that banners within the stall area must not project on to the aisles or a neighbouring stand it must be hung within the perimeter of your stand.

Direct support and suspension of stand to the Hall roof structure is NOT permitted.

All rigging must be an integral part of the stand design and should be confined within the limits of your stand area. Please note that banners within the stall area must not project on to the aisles or a neighbouring stand and they must be within the perimeter of your stand.

1.20 MAINTENANCE OF EXHIBITS Under no circumstances will maintenance work be permitted on stands during the exhibition open hours. However, by taking prior request for the same needs to be given in writing to the organizers latest by 2pm on the same day.

1.21 BREAKDOWN OF STANDS AND EXHIBITS Exhibits or stand fittings must NOT be removed or dismantled before 6pm on 28th October 2021. Exhibitors are responsible for removing all materials from their shell scheme stand by 9pm on 28th October 2021. Shell scheme stands will be dismantled from 11pm.

THE ORGANISERS WILL NOT BE HELD RESPONSIBLE FOR ANY ITEMS LEFT IN THE HALLS AT ANY TIME.

1.22 DAMAGE TO THE VENUE Damage caused to the structure of the exhibition building by an exhibitor / contractor will be charged by the venue via organisers. Under no circumstances should an exhibitor / contractor attempt to repair any damages caused.

It is strictly prohibited to affix nails, tacks, screws, adhesives, paint or similar items to the floor, walls, ceiling, shell scheme structure and other parts of the premises.

• The following requirements should be strictly ensured during the set-up:i) Electrical and other technical services behind / adjacent to your stand must be kept accessible.ii) All display, exhibits, merchandise, fittings, etc. should be free-standing and self-supporting to avoid

damage to the panels.iii) No part of an exhibit should project out of the stall area, nor should anything be placed outside the stall

area.iv) Grouting, digging in floors or walls is not permittedv) Any display on the panels directly should be with easily removable self-adhesive material or two-sided

tapes or with photo clamps care should be taken not to damage the panels.vi) Stall construction should not block the other exhibitor’s access area.

In case you wish to place your order for any of the optional services the Forms duly filled, must be sent (as directed on the forms) latest by the deadline mentioned in the form. Payment for additional service needs to be made in advance or made in cash at the venue at the designated counter. No additional service will be provided in the absence of payment. Organisers do not guarantee any supply of the above services if deadlines are not met. Online bookings for the same can be done till the deadline. 2. 3 FASCIAThe fascia sits at the top of your stand and will carry your Company Name and Stand Number; this will identify your company to the visitors. Please ensure that you complete and return the relevant form with the company name you wish to appear, if the form is not received before the deadline the company name which appears on your contract will be used. Exhibitor’s name will be put on fascia with pre-cut vinyl lettering in CAPITALS only. No Logo will be allowed on the Fascia. Depending on the length of the Fascia, standard abbreviations will be used.

2.4 FOR BUILT UP STALL • The following are strictly prohibited:

a) Holes, Nails, Drawing pins, Screws on the Panels, Furniture, carpet and floor.

b) Wallpaper / glue / stick fast / araldite on panels.

c) Use of paint or other easily non-erasable material on the panels.

d) Carrying out any type of welding work using naked flames.

e) Loud noise of music.

2.5 ADDITIONAL POWER REQUIREMENT / COMPRESSED AIR REQUIREMENT Shell Scheme exhibitors requiring compressed air or additional power, besides the 5 amp plug point connection provided in the booth, will have to inform organiser mentioning each. Such requirement will be individually charged extra and quoted according to the additional electrical power required / location of the stall in the layout / length of cables required etc. Please note that any such requirements should be informed to us on or before 25th October 2021 (Refer Form for power charges).

If they require additional power load mention the exact requirement of additional power load.

3. GUIDELINES FOR SPACE ONLY/BARE SPACE EXHIBITORSALL THE BARE SPACE EXHIBITORS ARE REQUESTED TO BRING PRE-FABRICATED STALL FITTINGSTO SAVE TIME AND CREATE LESS WASTEAGE IN THE VENUE.

3.1. POSSESSION OF STALL Possession of Stall will be given to exhibitors for interior & setup of stalls as follows: By 9am on 24th October 2021.

3.2 GUIDELINES FOR STALL CONSTRUCTION & DISPLAY • Stands with AREA ONLY / BARE SPACE / SPACE ONLY must be carried out according to following

regulations

3.3 STAND SPACE AND EXHIBITOR’S RESPONSIBILITY Space only exhibitors are responsible for their own stand design and construction. No stand fittings or carpet is provided by organiser on space only sites. All space only stand designs must be approved by the organisers before exhibitors or their respective contractor will be allowed access to the site and permitted to commence build. It is the responsibility of the exhibitor to examine the area and site allocated to them in order to avoid costly adjustments to stand structures. Where possible the organisers will provide on request detailed stand plots indicating the position of service ducts and pillars. Minor obstructions or height restrictions cannot always be indicated on the plans of the exhibition. Stand fitting regulations contained within this section must be observed when planning stand design and layout.

We are pleased to offer advice and guidance where required. Please feel free to contact the operations team with any enquiries.

Please note the organisers have the right to reject any stand plan that they deem to be:

a) Structurally unsafe

b) Considered to be too complex to be completed in the time specified.

c) Does not conform to the specifications listed in the manual.

d) Likely to unreasonably affect nearby exhibitor’s sites in any way

No major structural changes will be permitted to the stand once approval has been given.

Structures attached to the halls roof structure for support are not permitted. Hanging of buntings /banners from the roof /ceiling of the exhibition halls are also not permitted.

3.4 COMMON DIVIDING WALL Maximum height of common dividing walls (lateral and rear) to be at 3 meter and no logo or any individual elements to be fixed on the common dividing walls. However individual standalone logo or elements may be elevated to a height of 4 meter from the ground without touching the common dividing walls and must be set aside at least 1 meter inside your stall space. Care should be taken overall height of the stall (front of the stall) to be at 4 meters only. (Bare space exhibitor needs to instruct their respective stall contractors to follow the stall regulations strictly).

For Island booth Long runs of solid walling of 2.5 meter in height along open perimeters of stands are not permitted. Just one third of any open side is permitted to be a solid wall. If long runs of walling are essential then they must be recessed by minimum 0.5 meter from inside the stall area from perimeter of stand, and they must be relieved by display items and not left in plain colours.

• Permissible Maximum height of long run perimeter wall from the ground: 2.5 meter

• Maximum height of standalone Logo or element from the ground to be at 4 meters only.

All Floor Managers will be carrying a copy of the approved “Stand construction plan” from organiser, and if found any changes made by the exhibitor in the approved plan, which is not as per the stand construction regulations, then the construction of the said stall of the exhibitor wont’ be allowed until necessary changes are made as per the prescribed stand regulations stated in the rules & regulations and exhibitor manual. Each bare space exhibitor will be provided a line drawing of their respective stall space for better understanding of stand construction regulations.

Note: Bare space exhibitor needs to instruct their respective stall contractors to follow the “Stall Construction Regulation” strictly, and “Stand Construction Plan” needs to be sent to organiser minimum 30 days in advance for approval. No changes thereafter should be made on the approved plan. If any changes are being made, then the plan has to be approved by the organiser. Failing so organiser has the right not to allow the construction of the said stall.

3.5 ALL CONSTRUCTION WORKS ON THE BARE SPACE STALL SHOULD BE STOPPED BY 6PM ON 25th October 2021 AND THE PASSAGE WILL BE CLEARED OF ALL THE DEBRIS FOR LAYING OF PASSAGE CARPET. IT IS THE RESPONSIBILITY OF THE EXHIBITORS TO INSTRUCT THEIR RESPECTIVE STALL CONTRACTORS, TO FOLLOW THE DEADLINE STRICTLY.

3.6 ENCLOSED STANDS The inclusion of large enclosed areas within a stand can only be permitted with the Organiser’s prior written permission, please also refer to sub section 1.5 ‘Walling in on Open Sides’.

3.7 WALLING IN ON OPEN SIDES Long runs of walling along open perimeters of stands are not permitted.

Just one third of any open side is permitted to be a solid wall. Where long runs of walling are present along open sides, they must be relieved by display items and not left in plain colours if perimeter walling is more than 1m high, it must not occupy more than one-third of any one side. If long runs of walling are essential, they must be recessed by 0.5m from the perimeter of the site and will be subject to written approval by the Organisers.

3.8 STAND PLAN SUBMISSION Full dimensional drawings for all space only stands - showing all proposed constructional details and positions and dimensions of machinery exhibits - must be submitted and approved by the Organisers before any work can commence. A Method Statement and Risk Assessment are also required to be submitted in conjunction with the stand plans.

For space only stands detailed drawings (including all dimensions and elevations), Risk Assessment & Method Statement must be submitted to the operations team by using the Stand Design & Authorized Contractor form available via the online manual by the 27th September 2021. Failure to submit stand designs by this date may results in delays on-site. No stand construction will be permitted to commence without the Organisers written approval.

3.9 RISK ASSESSMENT AND METHOD STATEMENT All contractors/exhibitors are required to submit a full risk assessment for the design, construction and arrangement of their stand. If required, please contact the organisers for further information. The risk assessment is to be submitted along with stand plans.

3.10 ELECTRICAL INSTALLATIONS Mains supply to space only sites is not included and must be ordered 10 days in advance from On-site Services prior to the exhibition.

Mains supply to space only sites is not included within the space rental charge. The official contractor appointed by the organisers are the only individuals permitted to carry out electrical installations, please refer to the official contractor list for their details. Orders must be placed via the relevant form

Please note that your order will not be processed until payment is received. All the payments to be made in advance to the organiser.

Electrical installations inside the exhibitor stand area are exhibitor responsibility.

When completing the Electrical Order Form the location of the items should be clearly marked on the grid plan, if you haven’t submitted a grid plan your electrics will be placed at the discretion of the electricians, if you require these to be moved you will be charged.

Please note due to a limited supply available in the hall we highly recommend that you book your electrics power load by the deadline in order to avoid disappointment. We cannot guarantee to meet your exact requirements on orders issued after this date.

Orders received after the dead line or placed on-site will be subject to a 20% surcharge.

Exhibitors installing their own power connections to their displays for general lighting and power sockets must ensure that:

• The main cable is connected to a suitable type distribution box• The main switch should be an MCB• All wire joints are in connectors and concealed in junction boxes. No twisted wire joints are permitted• All wires in exposed areas are protected in PVC trunking. Running wires under the carpet needs to have

proper protection to avoid any un-towards incidence. Wires running across open areas is not permitted.If the power supply ordered is to be connected to machines and equipment exhibitors must ensure that: • A suitable type of isolator or MCB is provided between the main cable and the cable from the machine /

equipment• If the machine / equipment has its own isolator, then the main cable can be directly connected to it

Exhibitors installing their own power connections to their displays must also ensure such installationsconform to the Indian standards and will be subject to inspection and approval by the official electricalcontractor before connections to the mains supply.

The organisers reserve the right to disconnect any installation that, in their opinion, is dangerous or likely to cause annoyance to visitors or other exhibitors.

The standard supplies of electrical current available in the exhibition halls are:

Single phase 220 volts 50Hz / Three phase 415 volts 50Hz

The provision of a single-phase mains supply terminal by suitable switch gear is included only in the shell scheme contract.

Three phase supplies and 24-hour connection will be an extra charge and can be ordered on the relevant form through the online manual.

Prices for fitting will cover power consumption, installation, maintenance and removal at the close of the exhibition.

General lighting is provided in the halls but is not powerful enough to provide adequate stand illumination.

Exhibitors are advised that specific illumination of their stands is considered essential to achieve an effective display. Additional Lighting can be ordered online based on the availability.

Please note that electrics to stands are switched off 30 minutes after the exhibition, please contact the Organisers for power beyond exhibition closing time, should you need it. Cost for the same need to be paid by the exhibitor by cash to the contractor.

3.11 COMPRESSED AIR Exhibitors may not have generators or compressed air units on their stands. These need to be ordered through designated official vendor. And cost for the same need to be paid to the contractor. Please note due to the limited supply available in the hall we highly recommend that you book your compressed air by the deadline in order to avoid disappointment. We cannot guarantee to meet your exact requirements on orders issued after this date. Cost on request.

3.12 COLUMNS If you have a column on your stand and wish to clad it you must ensure the cladding is self-supporting and that access is available to any services on the column. We highly recommend that you conduct a site visit prior to finalization of your designs

3.13 FABRICS USED IN DISPLAYS Textile fabrics used for interior display purposes on the stand must be FIRE RETARDANT or purchased already treated by use of approved chemicals. Certain fabrics need not be fire proofed, i.e., wool, twill or felt. Textile fabrics used for interior decorative purposes within stands must be fixed taut and or in tight pleats (not draped) to a solid backing and secured 3 inches above floor level and not touching any light fittings. Cellulose paints are flammable and must not be used for stand dressing

3.14 PLASTICS / STAND DRESSING Lexan and Makrolon are acceptable. PERSPEX MUST NOT BE USED. Artificial plants and flowers which are combustible and give off toxic fumes must not be used for stand dressing. Plastic security night sheets are also not permitted.

3.15 LPG - LIQUEFIED PETROLEUM GASES (PROPANE, BUTANE, ETC) All flammable gas including compressed gas & LPG is prohibited on the premises at all

3.16 FLOORING Space only sites are not carpeted by the Organiser - exhibitors must provide their own floor covering. Exhibitors with adjoining blocks of stands will not be permitted to place their own carpet in the gangways.

Nothing may be structurally attached to the floor of the Exhibition premises. Carpet may only be fixed to the venue floor with approved carpet tape

3.17 HEIGHT LIMIT The overall height of stand fitting for single-storey stands including cladding of columns is 13 feet from the floor level. Perimeter wall of the stall having more than 3 meters (10 feet) in height is not allowed. Perimeter wall having height not more than 3 meters (10 feet) but less than 3 meter (10 feet) needs to be at least 0.5 meter with-in the stall area from the perimeter.

3.18 STAND NUMBER A stand number must be displayed on every open side of the stand.

3.19 SIGNAGE Signage and graphics are not permitted to overlook other stands where there is a dividing wall or to overhang in the gangways. No flashing lights will be permitted in the stall as these which may, in our opinion, can be causing a nuisance to other exhibitor.

3.20 EARLY/LATE WORKING If you have appointed a stand contractor to build your open space stand, you must be assured that the design of the stand is such that it can be built within the specified times as stated in this manual. Early or late working outside the hours of the build-up and breakdown timetable will not be permitted. All work related to stand to be completed by 6pm and the gangways should be cleared for laying carpets.

Please inform the Organisers if you believe you will have any issues keeping to the exhibition build/breakdown schedule.

3.21 MAINTENANCE Under no circumstances will maintenance work be permitted on stands during the exhibition open hours.

If at any time during the exhibition open days you need to carry out maintenance work on your stand after the exhibition has closed please apply to the Organisers by 2pm on the same day for authorization. Charges for the same needs to be paid the organizer.

3.22 WORK EQUIPMENT AND TOOLS Exhibitors and contractors have a duty to ensure that all tools are fit for purpose and safe to use. All dangerous moving parts such as circular saws must be guarded with controls to prevent unauthorized use. The use of battery powered tools is strongly encouraged to reduce trailing cables and risk of electrical hazards. Those using mains powered tools must ensure that cables are not trailed across aisles.

3.23 DAMAGE TO THE VENUE Damage caused to the structure of the exhibition building by an exhibitor / exhibitor’s contractor will be charged by the venue via organisers. Under no circumstances should an exhibitor / contractor attempt to repair any damages caused.

It is strictly prohibited to affix nails, tacks, screws, adhesives, paint or similar items to the floor, walls, ceiling, shell scheme structure and other parts of the premises.

• The following requirements should be strictly ensured during the set-up:

i) Electrical and other technical services behind / adjacent to your stand must be kept accessible.ii) All display, exhibits, merchandise, fittings, etc. should be free-standing and self-supporting to avoid

damage to the panels (Shell Scheme).iii) No part of an exhibit should project out of the stall area, nor should anything be placed outside the stall

area.iv) Grouting, digging in floors or walls is not permittedv) Any display on the panels directly should be with easily removable self-adhesive material or two-sided

tapes or with photo clamps.vi) Stall construction should not block the other exhibitor’s access area.

4. RULES & REGULATIONS

4.1. FIRE REGULATIONS & PRECAUTIONS In the common interest, of the exhibition co-operation of exhibitors is solicited to prevent fire. All aisles, common areas, must be kept free of obstacles. Exhibitors who, because of the nature of their exhibits, require special kind of fire extinguishers, must make arrangements at their own cost, for the provision of such equipment’s. All electrical wirings, fittings etc. will be done strictly as per the organiser’s authorized electrical contractors only. Prior written permission must be obtained for using electrical appliances / gadgets etc. Storage / use of inflammable items are strictly prohibited. Exhibitors are requested to refrain from smoking within the exhibition premises. Any person seeing an outbreak of fire, (if any) must raise an immediate alarm and make all efforts to extinguish the same with extinguishers provided by the organiser at the common area and inform the authorities of the same. Also, participants must make efforts to remove inflammable items from the vicinity.

4.2 LIABILITIES & INSURANCE The Organisers does not insure the personnel and property of exhibitor’s goods whether in transit or within, and / or outside the trade show premises. Exhibitors are advised to insure their personal merchandise, equipment, furniture, fittings etc. adequate, at their own cost.

4.3 FORCE MAJEURE The Exhibition may be postponed, shortened or extended due to reasons whatsoever outside the control of the Organisers. The Organisers shall not be responsible for any loss sustained by the Exhibitors, directly or indirectly, attributable to the elements of nature, force majeure or orders and directives imposed by any relevant authorities.

4.4 OFFICIAL SITE HANDLING, CLEARING, FREIGHT FORWARDING & OCTROI AGENTS • Complete handling of exhibition cargo Door to Stand.• ATA Carnets / Bank Guarantee / Pre-sold.• Pre & Post documentation / Shipping Guidelines.• Customs clearance.• Transport.• Assistance for erecting machinery / exhibits on stall.• On stall assistance for sale of exhibits during Exhibition, including issue of sale invoice and remittance of

sale proceeds.• Warehousing & distribution.• Allied logistics services.

5. SITE OPERATION SERVICES

5.1 OBSERVING OF RULES & REGULATIONS All Exhibitors and all their personnel must observe the Rules & Regulations stated in this Exhibitor’s Manual and in the exhibition Participation Agreement, while working or present in the Exhibition halls.

5.2 PROMOTION RULES a) No cards, advertisements or printed matter or persons or firms who are not bonafide of the Exhibitor will

be permitted for distribution. Any such unauthorized distribution will attract forfeiture of the said publicationmaterial / literature and severe penalty levied as deemed appropriate by the Organisers.

b) Exhibitors may distribute printed promotional materials, from within their own stand. However, no suchdistribution / promotion should be done from outside the stand area or from any other common areaswithin or near the Tradeshow premises.

c) No banners, posters etc. will be allowed to put up anywhere within the Exhibition venue/ Centre.d) Exhibitors may also note that putting up of hoarding, banners, posters etc. on roads and other common

areas, without the permission of the Local Municipal Corporation is an offence and attracts penalty.

5.3 SAFETY AND BEHAVIOUR No person present inside the Exhibition hall is expected to behave or act in a manner that may cause any harm, injury or damage to other persons or exhibits, nor to exhibition hall property or fixtures

5.4 SECURITY - LOSS THEFT While the Organisers will maintain security surveillance at all times throughout the exhibition, the organisers cannot be held responsible for any theft / damage / loss of the exhibits or any other property of the exhibitor. Exhibitors are reminded that goods will be vulnerable immediately after the show closes on the final day. Please be sure to see that your stall(s) are not left unattended at this time. Particular care should be taken of small portable items, tools and instruments, including telephones. Exhibitors are responsible for the organisers property made available to them within the stall(s).

5.5 ADMISSION Entry of Exhibition is Free. The Exhibition will be open to the Trade Visitors only by invitation or spot registration.

Admission is only for Adults over the age of 18 years.

5.6 CAFETERIA Cafeteria is located nearby/within the venue. A variety of snacks and beverages will be available.

6. DO’S AND DON’TS DURING THE SHOW• During the set up and dismantling stage of the booked period, the exhibitors are not allowed to make

connection to the power network in floor ports and in walls themselves. (Permission needs to be obtained)• During the setup, use of cutting/drilling machines, welding, wood/plaster polishing and any other dust

inducing works are to be avoided.• Fire hydrants/fire exit should remain uncovered and accessible during the show. Access can’t be blocked

to power switching stations, hydrants, hand fire-fighting equipment, fire alarm push buttons, electricpower switches etc.

• No exhibitor is allowed to install halogen or extra lights or power sockets without permission of the organizeras it may result into short circuit/tripping of MCB

• The exhibitors are not allowed to attach any elements of stand decorations, advertisements, flags, etc. tothe pavilion construction (ceiling, walls, railings, columns, etc.)

• Smoking shall not be permitted inside the hall/hangers.• Exhibitors cannot dispose off waste materials hazardous to health and the environment (including oils,

emulsions, acids, fats, varnishes, etc) together with other waste or via the drains.• Use of tobacco products and spitting betel juices inside the hall is strictly prohibited.• Keep your identification card readily available to be shown as and when required by security officials at

Cabling and Connection Charges

Following are the charges for Power:

Before 27th Sept 2021 : USD 55 per KW including taxes

After 27th Sept 2021 : USD 70 per KW including taxes

Note: All Power requirement needs to be directly send to Virtual Info Systems Pvt Ltd in advance on or before the specified deadline to avoid disappointment at the exhibition site. Organiser do not guarantee the exhibitors about the power availability at site if the exhibitor does not get the power from source. In case if the exhibitor orders power on site then they require to pay additional 50% more on the billing. All payments for the additional services will be accepted in cash only by the vendor at the venue.

Suppose if an exhibitor who has ordered power in advance and decide to make the payment on site, then the exhibitor needs to make the payment by cash before getting the power. No cheques shall accepted by the contractor.
