The Satellite Alternatives

In Gorilla 2.2, you can still use the old “Satellite” import/export with a laptop computer.

But if your laptop can be networked, you can use the much simpler dock/

undock procedure that transforms it from a “non-master” to a Satellite or back with three clicks of your mouse. (This option is not discussed fur-ther in this White Paper; see Docking a Satellite in your new Gorilla Help’s Index.)

Synchronization

Beyond the Satellite method, we have added a utility that lets you easily synchronize Gorilla® with

• Your Palm™ Desktop or Palm OS®—often called just “Palm” together in this White Paper—or

• Microsoft® Outlook®, and so with any device that will synchronize with it.

You can export and import all the necessary contact and scheduling in-formation along with your Notes and scheduled Actions.

Your vital database information is now completely portable in an instant!

Your Database

First, you need each Contact Group’s Home and Business Address Bun-dles to be correct and up to date. If they aren’t, make them so now. Specifically, • In the main Address Bundle (Home or Business) for the CG, you

want the decision-maker to be First Addressee—yes, even if that’s a wife Addressed as Married; the program still combines names correctly, if you’ve got their Gender entries right.

• The main email, if any, should also be in the main Address Bundle. • Appropriate voice and fax phones should appear in both Home and

Business Bundles. • Obviously, the above and all other data should be accurate.

The Update Utility

In Gorilla, choose Tools, List Order Update Utility. In the next win-dow, leave the default chosen and click Run Update.

In order to make the synchronization process both more user-friendly and more comprehensive, we have added a number of special fields to Gorilla, along with a Palm List Order. This update utility automatically chooses what the first few items in that order are for your Mailing Ad-dresses, Phone/Fax Numbers, and Email Addresses, and it assigns Out-look Types to all those items and also to Individuals.

If you converted your data from an earlier Gorilla 2.x, you already ran this utility the first time you opened your database. If you’ve made no changes to any Address Bundle since then, you could save a few seconds by skipping to “What Next?” below. But at this point it’s safer just to rerun the utility.

What Next?

• Continue with either “Step-by-Step Process for Synchronizing Go-rilla with Palm” on the next page or “Step-by-Step Process for Syn-chronizing Gorilla with Outlook” on page 9.

• After you’ve actually synchronized once, examine the results in the light of “How Will My Gorilla Data Look in Palm and Outlook?” on page 15. The List Order Update Utility’s results will be overwhelm-ingly correct, although not complete.

Before you synchronize your Gorilla database with your Palm device for the first time, you must choose the settings that govern what info you will be synchronizing and how.

For these procedures to work, your device must be properly connected to your computer and any Palm software installed. If not, please consult your Palm vendor first. BGM cannot support Palm software or hardware. You may also need to synchronize your Desktop with your handheld.

WARNING! Our synchronization process does not yet support Palm Desktop 4.1.4 (very recently released at this writing) or the accompanying HotSync.

Selecting Your CompanionLink/Palm Synchronization Settings

Gorilla & Welcome

1. At the top of your Gorilla window, select Import / Export, PDA/Outlook Sync Tool, and Change Settings.

2. If no settings have been entered, the first screen will tell you

3. You must make a choice from the pull-down menu in PDA Name. If you use Palm Desktop version 4.0 or earlier, you can choose

Palm OS Device to synchronize directly with your handheld Palm device. Or you can choose to synchronize with Palm Desktop, which your handheld device can then HotSync with. If you have Palm Desktop 4.1 or higher (e.g., 4.1.2 with Palm

Tungsten or Tungsten E), you must choose Palm Desktop and then HotSync your handheld device with it. However, as noted in the WARNING above, 4.1.4 or later is not

currently supported.

4. Palm can be synchronized with Gorilla for multiple users, so you must also choose a User Name in the field that now appears. (If you are the only user, the choice will automatically be correct.)

WARNING! If two or more Users’ Palm devices must be synchronized from this one computer, then before each synchronization, you must: In Gorilla choose Import / Export, PDA/Outlook Sync Tool, Change Settings to review this and all other tabs to set them for the current sync.

5. Click Configure.

6. The location shown in the field should be where your master data-base file is located—usually C:\Program Files\Bill Good Market-ing\Gorilla\Database\B22.mdb, unless it is in a network folder on your master computer or server machine. If you do not know the location of your database file, in Gorilla select Tools, Options, click the Directories tab, and check the Database directory. When you know the location shown is correct, continue with the next step.

7. If you want the appointments you deleted in Palm to be deleted from Gorilla upon synchronization, mark Process Deletes. Assuming you want all Individuals in each Contact Group (chil-dren, managers, etc.) synchronized to the Custom Fields in your Palm, leave Custom Fields marked.

When ready, click the Contact Group Filters tab and wait. For a large file, this may take a full minute to load.

8. If only one System Owner is listed, just mark its check box. But if you are in a partnership, CGs will be synchronized only if both their System Owners (“RRID’s”) are selected here, or if their Primary System Owner is selected here and their Secondary System Owner is blank. Mark the checkbox(es) accordingly, as many as needed.

9. For Selection Rule, you must choose a single Rule, probably one that selects all and only your Clients and Prospects. (Before you perform your first synchronization, you should open the Finder in Gorilla and verify that the Rule contains all and only the names you expect.)

10. When ready, click the New Appointments/Notes tab.

11. In the left-hand column, mark the one System User who should be set as the Originator of every appointment and Note that has been added in Palm when it is transferred into Gorilla. (This will probably be the Palm user.)

12. In the right-hand column, mark the one Staffgroup that all ap-pointments added in Palm should be assigned to—probably one that includes the Palm user.

13. When ready, click the Action Filter tab.

14. A System User will ordinarily want only the Staffgroup(s) con-taining him or her. But if, for example, a Service Assistant wants to have an RR’s Actions as well as the SV’s, select appropriate additional Staffgroups.

15. When ready, click the Transfer Method tab.

16. Most System Users will want the default setting, Synchronize changes both ways, which is the first choice listed. The second choice, Add Gorilla info to Palm, adds Gorilla data one-way without writing over anything in the Palm database. The third choice, Add Palm info to Gorilla, transfers data one-way the other way. Note that deletion in Palm of a record previ-ously transferred from Gorilla IS data, and this synchronization will also delete that record in Gorilla.

17. When ready, click the Applications tab.

18. By default, both Contacts (Palm’s Address Book) and Calendar (its DateBook) are marked. If you need to unmark either, do so now.

19. When ready, click the Purge and Reload tab.

20. You are not likely to want either choice here as you begin syn-chronization. But if for any reason you must now or later remove all data from Palm’s Address Book (Contacts) and/or Date Book (Calendar), marking either or both boxes will apply for the next sync only. You do not have to remember to come back and clear these. (So if you are purging data for more than one User, you must remember to review this tab with the rest.)

21. Click OK to save all settings made since you clicked Configure. The Handheld PDA Settings window reappears.

22. Click Next >. Read the You are now ready to synchronize message and then click Finish.

Preparing for Synchronization

If there is any data that is currently only in Palm and you would like it to be synced with Gorilla, get it typed into Gorilla before syncing.

In any case, before synchronizing do backups of both your Palm and Gorilla databases.

Performing the Synchronization

Once settings are specified, synchronization is either a one- or two-step process.

If you chose Palm OS, just place your handheld device in its cra-dle and click HotSync.

If you chose Palm Desktop: In Gorilla, select Import / Export, PDA/Outlook Sync Tool, and Perform Sync. When that process is complete, place your handheld device in its cradle and click HotSync.

The following guidelines should prevent data loss and error.

1. You cannot add a Contact Group from your handheld device or Palm Desktop software.†

2. You cannot change Individual names.

3. As necessary you can add and reschedule Appointments/Actions and add and change CG Names, addresses, phone numbers, email addresses, and Notes—if you follow the remaining rules here.

4. Enter a Note at least one full line below the last Note and leave at least two full lines before the Important Information entry:

end of last Note. Your Note here, on as many lines as it takes. (ImportantInfo) Optional text.

5. Use one of the following three formats to enter a Note for a CG in Palm.

Description only:

We finally got ahold of Jim and were able to get all his money.

With this format, your Note’s Type = Administrative and its Date is the date you synchronize with Gorilla.

Description preceded by Date (including time):

† It has been ingeniously suggested that you maintain a couple of “empty” Contact Groups in your Gorilla database—labeled, say, Generic, One and Generic, Two. You can then edit one of these in your Palm Pilot, sync the changes to Gorilla, and later add Individuals and create a new Generic CG there.

Caution! If Date and Type are not entered in exactly the format shown—Date with time as in the previous option and Type in (parentheses) with one space before and after, spelled exactly as in Gorilla—sync reads your Note as Description only. But since this is the format used for export from Gorilla, it should be easy for you to find a sample to imitate, or even to highlight and copy (perhaps with /C), paste (/V), and type over!

6. To add an Action to a Contact Group for a particular time: In Palm’s Date Book day view, select a time and enter a description. After a hard return, type Link: followed by exactly the Contact Group Name.

It will be much easier to enter the CG Name correctly if you have followed our guidelines. For most non-business CGs, this just amounts to imitating either Ape, Alice or Hawthorne, Hester & Thorny as shown in our Playground. You will rarely need the Stein/Toklas type and even more rarely anything like the Playground’s Smith, Adam/Jones—which could more fully have been Smith, Adam/ Jones, Eve or more briefly Smith/Jones. For more, see the Help topic Contact Group Names.

7. To add an Action not scheduled for a particular time: In Palm’s Date Book day view select New. In SET TIME click No Time, OK.

8. An Action added to the Palm Date Book without a specified CG becomes a Gorilla “Scheduled Item,” available in the Scheduler.

Before you synchronize your Gorilla database with Outlook for the first time, you must choose the settings that govern what info you will be synchronizing and how. The following assists you with that process. Typically, synchronizing with Outlook is a way of getting data to a non-Palm handheld device. That second process is not and cannot be covered in this documentation.

Selecting Your CompanionLink/Outlook Synchronization Settings

If you have not done so in the APPOINTMENT window (e.g., you worked in Day or Work Week view), double-click the item to open that window.

Click Contacts, choose the appropriate CG (illustration on the next page), and click OK.

What You’ve Got

In many but not all cases, the List Order Update Utility correctly fills in the Outlook Type fields and sets at least the first item in Palm List Order. Specifically:

Individuals. First Addressee in the Default Primary Address Bundle is the Primary Individual (in Outlook Type - Individual, which affects both Palm and Outlook synchronization). If Address as Married is marked, Second Addressee is Spouse; otherwise, the Utility blanks the Outlook Type field for that Individual—even if it was previously filled.

Mailing Addresses. Address in the Default Primary Bundle is 1st in the Palm List Order for Addresses (the only one synced to Palm), while Ad-dress in the Secondary Bundle (if any) is 2nd. They are Home Address and Business Address as appropriate in Outlook Type - Individual.

Phone/Fax Numbers. Phone Number in the Primary Bundle is 1st, Phone Number in the Secondary Bundle is 2nd, Fax in the Primary is 3rd, Fax in the Secondary is 4th (all synced to Palm). They are Business Phone, Business Fax, Home Phone, and Home Fax as appropriate.

Email Addresses. Email in the Default Primary Bundle is 1st (the only one synced to Palm) and E-mail. Email in the Secondary (if any) is 2nd and E-mail 2.

What You Want

To have your data displayed exactly the way you want it, you may need to further adjust the Outlook Type fields—for both Outlook and Palm—and for Palm only, the Palm List Order. The table on the next page gives details for each item.

For instance, the Utility does not read the Position field, so at minimum you will want to set Outlook Type - Individual to Spouse for many Second Addressees who are not Addressed as Married, and to Children, Assistant’s Name, or Manager’s Name for other Individuals.

Those four and Primary Individual being the only choices for Outlook Type - Individual, in order to have important Individuals synchronize you may need to make do in some cases. For instance, our Playground uses Assistant’s Name for Rudyard Kipling’s mother; and in Wild West Circuses, a business Contact Group, it assigns Manager’s Name to the Vice President and Assistant’s Name to the Secretary and Treasurer.

Warning! The Utility was intended for start-up use. In deciding whether to re-run it, you must balance the inconvenience of having to re-enter Spouse again for some Second Addressees against the convenience for the other Bundle components.

WHAT MUST BE DONE TO MAKE GORILLA SYNCHRONIZE EVEN BETTER?

Outlook Type-Individual

Outlook, on ALL FIELDS tab “Name fields” (etc.) Assistant’s Name, Chil-dren, Manager’s Name, Spouse; on DETAILS tab, Manager’s name, Assistant’s Name, and Spouse’s name. Four Custom Fields in Palm.

Marks which Individual in each Contact Group is the Primary Individual and which (if any) are his/her Spouse(s), Children, Manager(s), and/or Assistant(s). These place Individuals’ names in the Custom Field area in Palm. In Outlook, Individuals’ names appear both in the ALL FIELDS “Name fields” list and (except Children) on DETAILS. In ALL FIELDS Children, multiple entries are separated by a comma and a space—Mr. Joseph Jacobs, Mr. Benjamin Jacobs—but in the other Out-look Types, separators are semicolons without any space—Ms. Leah Jacobs;Ms. Rachel Jacobs. Palm uses unspaced semicolons for all separators.

Outlook Type - Address Outlook Address Type. For Palm, see right.

Marks one address (at most) per CG for each Outlook category—Home, Business, and Other. In Palm, appears at the end of the CG Name (in Palm’s Last Name field): E.g., Ape, Alice {Home Address}.

Palm List Order for “Address” page Palm Address Book.

Only the first Address appears in Palm. If it has no Outlook Type - Address—see above—the {curly brackets} after the CG Name are empty: {}.

Outlook Type - Phone Phone label fields in Outlook and Palm

Marks one phone (at most) per CG for each of the 20 Outlook types. In Palm, appears as equivalent labels (e.g., both Business and Business 2 become Work).
