that calls all baptized Christians to help spread the

Preparing & Submitting Batches
How to Build a Batch:Step 1: Review handwritten pledge cards to ensure that they are legible and all the essential biographical information is present. Please add additional name or address information if known so that we can record and send accurate reminders to the donor. (See appendix for examples of pledge cards that need additional information)
Step 2: Breakdown, sum total, bundle, and label, the pledge envelopes into their respective categories. (do not separate donor’s checks from their pledge cards)· Cash Gifts (One-Time)· Cash Gifts (W/ Remaining Balance)· Anonymous Cash (gifts from donors that did not complete a pledge card)· Check Gifts (One-Time)· Check Gifts (W/ Remaining Balance)· Credit Card Gifts· Promissory Pledges (no form of payment enclosed)
What is a batch?A batch contains pledge cards, forms of payments, and a transmittal (cover sheet), which outlines what is enclosed in the batch that the parish prepares and sends to the Together in Mission for processing.

Preparing and Submitting a Batch contd.
Step 3: Record the number of items enclosed, and total amount pledged and paid utilizing the electronic form of the transmittal available on the Resource Section of the Together in Mission website. Step 4: Make a copy/save a copy of the transmittal for your records. Step 5: Use TIM supplied return envelopes to mail all bundled pledge cards with a completed transmittal. Step 6: Send your batches directly to the TIM Office, 3424 Wilshire Blvd. Los Angeles, CA 90010.
Do not send batches to PO BOX 54297. The bank is not equipped to process parish batches properly.

Helpful Tips/FAQs When Building a Batch:
Use the electronic transmittal excel sheet found on the parish resources page of the Together in Mission website to balance your batch. · Replace all cash from parishioners with a parishcheck.· Do not staple or paper clip checks to pledgecards. Keep the checks in the pledge envelopepocket so nothing gets separated.Do not send any batches to the PO Box Address.

How Often Does a Parish Need to Send a Batch?
The first few batches are the largest and we ask that a parish submit its first batch by February 27th . After the campaign launch, please send pledge cards/payments as they are received. (weekly batches are appreciated).
What happens to the batch when it is sent in to the Together in Mission office?
The Together in Mission staff records all gifts and pledges, cashes checks and charges credit cards received, scans pledge cards for record keeping, and emails a transaction receipt of all items processed back to the parish.

Transmittal Receipts
After a parish batch has been entered by the TIM office a Parish Batch Verification Report will be automatically emailed to the parish. Physical transmittals will no longer be emailed or mailed.

Follow up opportunities for the Parish
· Monthly Altar /Bulletin Announcements are a helpful way to keep parishioners informed about the campaign and your parish’s progress. · Participating in the summer “parish mailing”. The TIM office sends the mailing, we just need your letterhead and pastor’s signature.· Customized bulletin inserts. The TIM office provides customized bulletin inserts that your parish can use to promote the various follow-up mailings. These bulletin inserts will be emailed and we encourage each parish to print and place them within the bulletin.
