    Safety/Hospitality and Maintenance RFP posted to the district websites, the International Downtown

    Association (IDA) website, the California Downtown Association (CDA) website and the California Main

    Street Alliance website.

    January

    Safety/Hospitality and Maintenance RFP delivered to incumbent service providers, Block by Block and

    Peralta Service Corporation.

    January1/13

    Mandatory bidder meeting was held to discuss any and all questions that potential bidders have and torelease the district vendor contract. The Meeting was a Q/A format and representatives from ABM, Allied

    Barton, Block by Block and Peralta Service Corporation were in attendance. CBD staff and members of the

    task force were present and answered all questions. We held the meeting at the CBD office on January

    13, 2015 at 3:30pm-5:00pm.

    January 

    1/19

    All Submissions are due to the CBD office no later than 4pm. We received only 1 submission from Block by

    Block.

    January 

    1/23 

    The task force held a meeting to review the Block by Block proposal submission. After reviewing the

    submission in detail, the task force members had staff ask specific questions of Block by Block prior to

    their in-person interview. This meeting took place at the CBD office on January 23, 2015 from 12:00pm-

    1:30pm.

    January 1/28  The task force held an interview with Block by Block to review their proposal and deployment plan. At thiinterview, we received answers to the questions we had from the proposal review meeting. Block by

    Block had 5 members of their team present at this meeting. The task force and CBD staff met after the

    interview to discuss next steps, which included Block by Block providing additional clarity to several items

    of their budget. This meeting took place at the CBD office on January 28, 2015 from 1:30pm-3:00pm.

    February

    2/4

    A full committee meeting to make a recommendation to the board to approve contracting with the

    committee selected bidder. This meeting with take place during our SOBO Committee meeting at the

    Leamington Building conference room on February 4, 2015 from 12:00pm-1:30pm.

    February 

    2/13

    Special Joint Board meeting to approve contracting with the SOBO-approved bidder. This meeting with

    take place at the 5-Star Conference Center on February 13, 2015 from 9:00am-10:00am.

      A full list of meeting attendees must be made available upon request.

      All proposals submitted must be kept on file at the CBD office and available for review upon request.

      All meetings surrounding the RFP process must be carefully documented and all documentation is available for

    review upon request.
