Introduction Miami-Dade County Public Schools (M-DCPS) and Information Technology Services (ITS) has developed a Web-based application for school staff to electronically generate, edit, and print Limited English Proficiency (LEP) Plans for students identified as LEP and eligible for participation in the program. System Overview School site administrators must assign RACF security access for the Web Limited English Proficiency Plan (WLEP) to their designated staff members. This application is available within the Instructional Planning System (IPS) in the ITS Intranet Web Applications. IPS contains student information and forms through the Intranet to be accessed and completed by school-based staff members. Student information originates from ISIS LEP files and is downloaded into the IPS system overnight. ISIS LEP information will continue to be entered and maintained in the same manner. This guide has been created to assist users in the completion of the LEP Plan form. Based on grade level, fields displayed and information required on the LEP Plan form vary to meet the requirements for individual grade levels. How to Access the LEP Plan To access the LEP Plan,

Open the Microsoft Internet Explorer browser on the PC at the work location.

In the address field,

Type http://intranet.dadeschools.net The ITS Intranet Web Applications Log In screen will be displayed. (See page 3.) Or,

Log In to the M-DCPS home page at http://www.dadeschools.net

Click the Employee tab

The dadeschools.net employee web page will be displayed.

This site is best viewed using the latest version of Microsoft Internet Explorer and Adobe Acrobat Reader which can be downloaded from the M-DCPS Intranet under the Software Updates and Utilities option.

On the ITS Instructional Planning System screen, using the Tools pull-down menu, The Limited English Proficiency Plan screen will be displayed. The school number will be displayed. District office users will enter the four digit school number to view a school’s LEP information. Searching for LEP Plans On the Limited English Proficiency Plan screen, users will begin by searching for an individual or group of students in their school, based on their LEP status, grade level and/or number of program semesters. In the LEP Plan Status field, using the pull-down menu, The list of students will be displayed. The list can be further modified by entering a specific grade level, student ID number, last name or first name, or number of program semesters, and clicking search again.

Select All (all LEP students assigned in ISIS), Initialized in ISIS (students entered into LEP in ISIS), In Progress (info has been entered into Web LEP), Exited but incomplete (exited in ISIS, not Web LEP), Post Program Review in Progress (exited but review in progress), or, Post Program Review Completed (students with 4 completed reviews will display for 2 years)

Viewing the LEP Plan The search results will display the student name, student ID number, number of semesters, grade and LEP status. The ISIS student LEP information is displayed on this screen. . To view a student’s Individual LEP Plan,

Click STUDENT NAME The Front Page of the selected student’s Individual LEP Plan will be displayed. The IPS Navigation bar located at the top right side of the LEP Plan screen allows users to return to the Intranet, IPS and LEP home pages.

LEP Plan Toolbar The Individual LEP Plan is divided into sections. Click on each tab in the toolbar to display each section. The tabs and form information displayed change to reflect grade level LEP requirements. Informational messages are displayed in the yellow bar to assist users. For additional support, a user guide is offered by clicking on the Help icon.

1 Front Page Basic student demographic information, initial assessment, placement, entry date, scores and exit information originating in ISIS. (See page 6.)

2 Program Participation

ESOL subject areas and participation time required for an LEP student. (See page 7.)

3 Program Update

Student score, instrument, and level information for LEP student classification after initial entry into the ESOL program. (See page 8.)

4 Post Program Review

Monitoring dates for an LEP student who has exited the ESOL program. (See page 10.)

5 Meetings

Documents LEP committee meeting dates for specific student recommendations. (See page 11.)

6 Current LEP Student Plan LEP information generated from

ISIS and updated in Web LEP. Hover mouse over student name to view the student’s demographic information.

7 IPS Navigation The IPS Navigation bar located at

the top right side of the LEP Plan screen allows users to return to the Intranet, IPS and LEP home pages.

Hover mouse over student’s name to view demographics. Informational messages are displayed in the yellow bar to assist users. To enter Program Participation information, in the Action column,

Promotion/Retention This tab is applicable for only third grade students. Promotion or retention information on this screen is completed at the end of the school year. Hover mouse over student’s name to view demographics. Informational messages are displayed in the yellow bar to assist users. This information will be displayed on all printed LEP Plans. After the promotion or retention information has been entered in ISIS, the information will be downloaded to the Web LEP. Only the entry of teacher information will be required.

Click on the drop-down list to select the teacher’s name

Informational messages are displayed in the yellow bar to assist users. To enter Post Program Review information, in the Action column next to the teacher name,

Meetings This section documents the meeting dates for LEP committee members to determine specific student recommendations. Hover mouse over a student’s name to view demographics. Informational messages are displayed in the yellow bar to assist users. In the expanded row,

Printing the LEP Plan Form The LEP Plan form can be printed in its entirety or by sections. During the editing process, forms can not be printed. Information entered on the form must be saved before the print option is enabled. Do not use Internet browser print option. To print the report, on the Print Preview screen,

Click the printer icon (Do not use the Internet browser print option.)

Select printer options

Select Print

Full Print To print the student’s entire LEP Plan,

Click on the Full icon Section Print To print a section of the student’s LEP Plan, display the section to be printed,

Click on the Section icon The Print Preview will be displayed.

NOTE: To print a list of students by status, from the search results page, select the information to be printed and choose print selected on the print screen.
