*INTRODUCTION

*A flowchart is a graphical representation of the sequence of operations in an information system.

*Since a flowchart shows the flow of operations in pictorial form, any error in the logic of the procedure can be detected easily.

*Flowchart uses boxes of different shapes to denote different types of instructions

Page 3: Qcl 14-v3 flowcharts-banasthali_university_varshitasingh

*CONTD.Some of the common flow chart Symbols are:

* - One step in the process (written inside the box)

* - Direction of flow from one step/decision to another.

* -Decision based on a question (written in diamond).

* - Delay or Wait

*CONTD.Types of Flow Charts

*Macro Flow Chart

Shows only the major steps of the process

*Top-Down Flow Chart

Shows the major steps of a process and the first layer of sub-steps

*Detailed Flow Chart (Micro Flow Chart)

Shows all details necessary to capture exactly how a process is done

*College Admission Procedure

*For the analysis of flowcharts, we have considered the ‘College Admission Procedure’.

*Studying the various steps in the procedure of college admission, a macro flow chart is prepared. In this macro flow chart, the three trouble spots are identified.

*Micro flow charts of the three trouble spots are prepared separately.

*Studying these micro flow charts gives the details of the problems in the system of college admission procedure.

• After studying the procedure of Admission in College, a macro flow chart was designed out of it.

• Now, we have recognised three trouble spots. These trouble spots would be further detailed in their respective Micro flow charts.

• The trouble spots are:Receiving call letter by post.

On Campus Counselling. Hostel allotment.

TROUBLE SPOT: Receiving Call Letter By Post

PROBLEM IDENTIFICATION:

No Accountability of the post. Some students receive it in time whereas some get it after the due date. Post is the only means of communication in this case. One cannot get the access to the call letter by any other means of communication(either internet or through Telephonic communication).

*Analysis of Second Trouble Spot

TROUBLE SPOT: Completion Of The Formalities.

PROBLEM IDENTIFICATION:

MismanagementNo proper accommodation facility for the

parents at the time of the counselling. A temporary arrangement is done with no proper hygiene.

A lot of paperwork is required which can be easily done over internet.

No single venue system for all the paperwork.

Page 22: Qcl 14-v3 flowcharts-banasthali_university_varshitasingh

*CONTD.

Students keep on oscillating in different departments along with their parents.

No proper directions of various departments are provided .

Due to the anonymity of ranks it becomes necessary for all the interested students to attend the On-Campus Counselling without having a slight clue of the availability of subjects to them.

*Analysis of Third Trouble Spot

TROUBLE SPOT: Hostel Allotment

PROBLEM IDENTIFICATION:

No Centralized System & Manual Feeding of Data

No single administrative block at the time of allotment. Information has to be provided separately by the student to every concerned department. The record of each and every student is manually maintained in the hostel. There is computerized system of data feeding.

*CONCLUSION

*Flow charts provide a clear picture of the situation by involving the major steps only.

*It helps to analyse and communicate a big picture in an effective way.

*The Macro flow chart gives an overview of the picture whereas the micro flow chart provide every detail of the same. Hence, the situation is completely understood and effectively worked upon.

Page 29: Qcl 14-v3 flowcharts-banasthali_university_varshitasingh

*Contd.. In this analysis of process,

*A Macro flow chart of the whole process is prepared in order to know the major steps involved.

*After identifying the complicated steps on the Macro flow chart, Micro flow chart of these complex steps are prepared.

*After studying the micro flow chart of the problematic steps of the process, we are able to identify the root problems and the loopholes of the system.
